    Description

    The People (HR) Coordinator is an integral part of the People Operations team, supporting the day-to-day execution and administration of People Operations activities across the employee lifecycle. This role focuses on coordination, documentation, and first-line support, ensuring People processes are delivered accurately, consistently, and on time, while providing an excellent first-impression experience for all new hires.

    The role partners closely with the Director of People Operations, escalating decisions, employee relations matters, and compliance-related issues as appropriate. Success in this role requires exceptional attention to detail, strong communication skills, sound professional judgment, and administrative excellence to positively impact team experience and operational outcomes.

    Essential Duties and Responsibilities:

    Employee Lifecycle Administration

    • Coordinate onboarding and offboarding processes for all team members
    • Administration of onboarding workflows, documentation, and acknowledgements within our HRIS (currently Paychex)
    • Prepare orientation materials and ensure new hires are system-ready
    • Maintain accurate employee records and HR documentation
    • Support offboarding administration, including checklists and coordination of required notices

    Benefits Administration Support

    • Serve as a first point of contact for routine benefits questions
    • Support new hire enrollments, qualifying life events, and open enrollment administration
    • Maintain benefits documentation and team communications
    • Liaise with brokers and vendors for standard administrative requests
    • Assist Feldman team with MA State leave queries and application processing
    • Escalate complex or sensitive benefits issues to the Director of People Operations

    Recruitment & Hiring Support

    • Post job openings and monitor job board activity
    • Coordinate interview scheduling and candidate communications
    • Support resume screening and candidate sourcing for select roles
    • Assist with recruitment pipelines, tracking, and reporting
    • Prepare offer documentation for review and approval

    HR Systems, Reporting & Compliance Support

    • Maintain HRIS data accuracy within Paychex
    • Process approved team member changes and updates
    • Run standard HR reports and audits
    • Track training completion, certifications, and compliance documentation
    • Support leave tracking (PFML, FMLA, and other leaves) from an administrative perspective

    Employee Support & Escalation

    • Respond to basic HR-related questions from team members
    • Identify and escalate employee relations issues to the Director of People Operations
    • Maintain confidentiality and professionalism at all times
    • Support a positive and consistent people experience through accurate and timely service
