Physician Assistant Program Admissions Coordinator

Position Overview:

Charleston Southern University is seeking an Admissions Coordinator who will work closely with the Physician Assistant (PA) Program and Admissions Committee Chair to oversee program admissions, marketing, website maintenance, and admission-related program events for the PA program. This is a 12-month full-time position that reports to PA program director.

Key Responsibilities:

Responsibilities vary by role and may include, but are not limited to:

Admissions and Recruitment Coordination

  • Oversee the CSU PA program admissions process, including receiving and processing CASPA applications, prescreening candidates, and maintaining application records.
  • Serve as prospective students primary point of contact, providing pre-professional advising and program information.
  • Coordinate and plan candidate interviews, including scheduling and interviewer training.
  • Work collaboratively with the Admissions Committee Chair to coordinate Admissions Committee meetings and maintain minutes of all admissions-related meetings.
  • Manage student enrollment processes, collaborating with external vendors and university offices (e.g., Financial Aid, Registrar, Student Accounts).
  • Organize and execute New Student Orientation and recruitment events, such as information sessions and interest meetings.
  • Develop and distribute promotional materials, maintain program marketing efforts, and represent the PA program at career events.
  • Maintain admissions guidelines and prepare reports by analyzing application data and trends.
  • Maintain the annual calendar of admissions responsibilities and duties.

Event and Communication Management

  • Plan and execute program recruitment outreach, maintaining a calendar of events and updating prospective student databases.
  • Coordinate communication with applicants regarding application status and materials, ensuring compliance with admission requirements.
  • Arrange campus tours and serve as an initial resource for inquiries.

Program Support

  • Collaborate with the Program Director to ensure compliance with admissions processes and proper documentation for matriculation.
  • Write, update, and recommend changes to admissions policies and procedures.
  • Support event planning and coordination related to the program as needed.
  • Support the mission and goals of the CSU PA program.
  • Perform additional duties as assigned by the Program Director.

Qualifications:

  • Bachelor's degree required with at least three years' experience, preferably in an academic environment and/or admissions.

Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office (Excel, Word, and PowerPoint) and adaptable to other software relevant to duties.
  • Knowledge of customer service standards and skilled in utilizing them for effective interactions with internal and external stakeholders.
  • Excellent verbal and written communication skills to effectively communicate and engage with faculty, administrators, students, staff, alumni, and the general public.
  • Detail-oriented, with the ability to manage multiple responsibilities effectively.
  • Experienced and skilled in interacting with diverse populations, including prospective students, enrolled students, faculty, staff and university administrators.
  • Capable of working independently, demonstrative initiative, organization, and accountability without immediate and constant supervision.
  • Ability to maintain confidentiality of department records.
