The Entry-Level Procurement Specialist supports purchasing and supply chain operations by coordinating purchase orders, managing packaging materials and artwork readiness, tracking inventory against open orders, and assisting with material planning and reorders. This role is ideal for a detail-oriented individual looking to grow in procurement, supply chain, or operations within a regulated dietary supplements manufacturing environment.
Key Responsibilities
Purchase Order Coordination
Receive, review, and process purchase orders for raw materials, packaging components, and indirect supplies.
Track open purchase orders and follow up with vendors on order status, lead times, and delivery dates.
Maintain accurate purchase order records and supporting documentation.
Packaging & Artwork Management
Coordinate packaging components (bottles, caps, labels, cartons, pouches, etc.) to ensure readiness for production.
Manage packaging artwork files and revisions to ensure correct, approved versions are production-ready.
Work with internal teams (Quality, Operations, Marketing) and external vendors to resolve packaging-related issues.
Confirm packaging specifications align with approved artwork, purchase orders, and production requirements.
Material & Inventory Management
Monitor inventory levels of raw materials and packaging components.
Perform inventory checks against open purchase orders to ensure materials are available for upcoming production runs.
Assist with reconciling received materials against purchase orders and inventory records.
Identify and escalate shortages, delays, or discrepancies to the Director of Product Operations.
Planning & Reorder Support
Assist with demand projections and reorder planning based on production schedules, historical usage, and vendor lead times.
Prepare reorder recommendations to help prevent stockouts or excess inventory.
Maintain tracking tools, spreadsheets, or ERP reports related to purchasing and inventory planning.
Compliance & Organization
Follow SOPs, cGMP, and internal procurement procedures.
Maintain organized, audit-ready procurement and packaging documentation.
Support internal and external audits as needed.
Qualifications
Required
College diploma or degree in business, supply chain, operations, or a related field.
Ability to manage multiple priorities and meet deadlines.
Proficiency with basic computer tools (Excel, email, shared drives).
Ability to lift and carry up to 50 lbs.
Preferred
Previous experience in procurement, supply chain, inventory, or operations.
Experience in dietary supplements, food, pharmaceutical, or manufacturing environments.
Familiarity with ERP or inventory management systems.
Experience working with packaging materials or artwork files.
