POSITION SUMMARY:

The University Honors College at Duquesne University seeks a Program Coordinator to provide administrative, financial, and data support for the College''s operations. Established as the Integrated Honors Program in 1984 and as the Honors College in 1997, the College enrolls approximately 800 students and works with a network of 20 to 25 faculty from schools across the University to teach the Honors curriculum. Reporting to the Director, the Coordinator maintains the College''s records, processes its transactions, and coordinates its daily operations. This is a high-volume, detail-intensive role. The Coordinator maintains budget and expenditure records against the operating budget and restricted funds; maintains the student progress audit against the Honors curriculum for the Honors College student body; assembles the semester HONR schedule and course catalog updates in coordination with the Director; and compiles the enrollment, completion, and outcomes data the Director uses for assessment and planning. The Coordinator also serves as the office''s first point of contact and provides logistical support for three to five student events per month during the academic year.

This position reports to the Director of the University Honors College. Coordinates the day-to-day work assignments of graduate assistants and student employees.

This is a full-time, twelve-month, on-campus position. Occasional evening and weekend hours are required to support Honors College programming. Standard office environment; occasional lifting of event materials up to 25 pounds.

DUTIES AND RESPONSIBILITIES:

Administrative Operations:

Serve as first point of contact for the Honors College office, responding to inquiries from students, faculty, staff, families, and prospective students.

Maintain student-facing communications: website content in Modern Campus CMS, the communications calendar, social media, and the student handbook.

Coordinate scheduling and assignments for graduate assistants and student employees.

Support daily operations of the Honors College suite, including supplies, equipment, keys, and space scheduling.

Budget and Financial Support:

Maintain budget records, tracking expenditures against the operating budget and restricted funds.

Produce expenditure summaries and budget spreadsheets, reconciling against University financial records.

Process purchases, purchase orders, reimbursements, invoices, stipends, and award disbursements under University financial policy.

Compile financial data for the Director''s budget planning, grant applications, and annual reports.

Data, Records, and Assessment:

Maintain the student progress audit: track approximately 800 students against the sixcourse Honors requirement and report students not on track to the Director and advising staff.

Maintain enrollment logs, outcomes dashboards, and student records, keeping data current and audit-ready.

Generate reports on enrollment, course completion, retention, and student outcomes from Cognos and College data.

Assemble supporting materials for assessment reports, annual reports, and self-study documentation.

Maintain student files in compliance with FERPA and University records-retention policy.

Curriculum and Course Operations:

Assemble and enter the semester HONR schedule, coordinating dates, rooms, and instructors across schools.

Maintain the course catalog, including the annual update in coordination with the Director. • Prepare graduation certification materials for the Honors designation, including the auditing Commencement lists, and the distribution of regalia accessories.

Answer routine student and faculty questions about Honors requirements, referring nonroutine matters to the Director.

Student Programs and Events:

Provide logistical support for three to five events per month during fall and spring, ranging from 30 to 100-plus attendees: reservations, catering, registration, materials, and communications.

Support logistics for orientation, recruitment and yield events, symposia, the Des Places Hall living-learning community, and community partnership programming.

Support application and selection processes for Honors College awards and fellowships, maintaining records, deadlines, and applicant communications.

Completes other duties as assigned.
