Position Description

Advertised Job Summary

The Program Manager is under the limited direction of the Assistant Director, manages daily clinic operations and supervises operational staff for the USC Brain Health Network. The position exists to implement approved operational designs, staffing models, and workflow processes to ensure efficient service delivery across clinic locations. Accountable for execution of established priorities, staff performance, operational system integrity, and escalation of strategic or structural matters to leadership. To demonstrate commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures and regulations

Job Related Minimum Required Education and Experience

  • Requires a bachelor's degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials Preferred Qualifications

  • Epic systems experience.
  • Experience in clinic scheduling, capacity management across multiple providers, staffing roles and locations, and template optimization within Epic and ambulatory clinical settings.

Knowledge/Skills/Abilities

  • Knowledge of policies, procedures, and practice standards.
  • Knowledge of ambulatory workflows and clinical operations workflows.
  • Maintain a high level of confidentiality
  • Effective written and verbal communication skills.
  • Ability to problem-solve collaboratively with program leadership.
  • Required to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures and regulations

Operational Execution & Site Implementation

Implements approved operational models and workflow designs across Brain Health Network clinic sites. Coordinates staffing deployment, scheduling configuration, and process rollout to ensure operational readiness and consistency. Monitors implementation effectiveness and reports outcomes to leadership.

Staff Supervision & Workforce Management

Provides direct supervision to assigned operational staff, including supervisory-level employees. Oversees onboarding, performance evaluations, corrective action, and ongoing training to ensure accountability and adherence to established service standards.

EMR & Scheduling Systems Administration

Executes configuration and maintenance of the electronic medical record (EMR) and related scheduling systems in alignment with approved operational models. Manages provider templates, monitors referral workflows, and trains staff to ensure accurate documentation and patient access efficiency.

Quality Assurance & Workflow Compliance

Conducts operational audits, referral reviews, and site observations to ensure compliance with established procedures and regulatory requirements. Implements corrective actions within defined authority and escalates systemic concerns as appropriate.
