We are seeking a highly organized and detail-orientated Project Administrator to support the successful execution of projects through strong coordination, documentation, and administrative oversight. This role is ideal for someone who excels at managing details, tracking progress, and ensuring processes run smoothly across teams.

Key Responsibilities:

  • Maintain and organize project documentation, including schedules, status reports, meeting notes and deliverables
  • Coordinate project activities, meetings, and communications across internal teams and stakeholders
  • Track project timelines, milestones, and action items to ensure deadlines are met
  • Prepare and distribute regular project updates, dashboards, and reports
  • Monitor project workflows and ensure tasks are properly documented and followed through
  • Assist project managers with planning, scheduling, and resource coordination
  • Support onboarding of project team members by organizing materials and documentation
  • Maintain project files and ensure version control and accuracy of records
  • Identify process gaps and recommend improvements to enhance efficiency and consistency
  • Serve as a central point of contact for project-related administrative coordination

Qualifications:

  • 3+ years of experience in project administration (e.g. project controls, project finance, procurement or related role)
  • Strong organizational and time management skills with exceptional attention to detail
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Excellent written and verbal communication skills
  • Ability to follow established processes while proactively identifying improvements
  • Strong problem-solving skills and ability to work independently
  • Experience in project coordination or administrative support preferred
  • Experience with project management and collaboration tools (e.g. Microsoft Office, Teams, SharePoint, Smartsheet, or similar is preferred)
