Ardalyst is seeking a motivated Project Administrator in Crofton, MD to join our dynamic team. The Project Administrator will be responsible for maintaining and improving existing operations processes and systems to ensure a high level of efficiency within the company. Strong organizational skills, sound judgment, strict attention to detail, a proactive approach to problem-solving, and an ability to work both independently and as part of a team are essential for success in this role.

Duties/Responsibilities:

  • With support from professional services provider:
    • Develop and maintain monthly project financials
    • Manage project budget
    • Manage project expenses
    • Track time entry against plan
    • Track deliverable completion against plan
    • Track and manage accounts receivable, to include invoicing and collections
  • Manage time entry process
    • Ensure complete, timely, and accurate time entry from all project personnel
    • Review time for compliance against company and contract standards
    • Reject unapproved time and work with timekeepers to properly enter time
  • Process expenses to include project travel claims
  • Manage contracts, SOWs, purchase orders, change orders, and other project filings
  • Prepare project status reports
  • Lead the development and implementation of policies, procedures, and standards to ensure compliance with laws, regulations, and industry standards

    Requirements:

  • Self-motivated, highly organized, and detail-oriented with the ability to work independently or collaboratively
  • Proven ability to manage time effectively, prioritize tasks, and meet deadlines in a fast-paced environment
  • Excellent written and verbal communication skills
  • Ability to manage and prioritize multiple projects simultaneously
  • Ability to automate or standardize common tasks

Qualifications:

  • Bachelor’s degree in business, operations, or related field, or 1-3 years of experience in operations or business administration roles.
  • Strong knowledge of Microsoft Office products, especially Word and Excel
  • Familiarity with Microsoft Teams preferred
  • Superior attention to detail
  • Aptitude for learning new software and systems quickly
  • Solid understanding of operational processes and systems
