Additionally, our diverse internal training program, Jet University, is available to help you enhance your skills and grow in your career.

About the role of Project Controls Specialist:

This is not a typical scheduling position. You will keep each project's Microsoft Project schedule current from field production data, track labor hours against estimates by division, and give project managers, superintendents, and general contractors an accurate picture every week. The role runs on a structured MS Project setup with custom

fields, plus an AI assistant (Claude) that handles the checks, form building, and reporting around each update. You will inherit a mature, documented system and will own its continued refinement. You will train with the outgoing scheduler for a smooth handoff.

Essential Duties and Responsibilities:

  • Run the weekly update cycle on every active project: review the superintendents' production forms, run the MS Project update macro, and verify the results before anything is published.
  • Build and maintain project schedules in MS Project, including new jobs, task changes requested by the divisions, and schedule logic (Fixed Work task types, links, resume dates).
  • Publish weekly outputs: an hours summary per project, next week's production forms for each division, and rows in the company-wide hours tracker.
  • Spot and resolve data problems early: % complete regressions, hours posted to the wrong task, tasks removed from the schedule while still on a form, and tasks that collapse to zero-duration milestones.
  • Flag cost risk to project managers when a division's hours used run well ahead of its physical progress.
  • Prepare GC-facing lookaheads as needed from the tasks the field selects.
  • Train and support superintendents and foremen on the weekly production form, one-on-one, and serve as the go-to for questions about it.
  • Keep the standard operating procedure, scripts, and form templates current as the process evolves.

MINIMUM QUALIFICATIONS AND EXPERIENCE:

  • 3+ years of scheduling or project controls experience in construction, preferably with MEP or specialty trades.
  • Advanced Microsoft Project skills: custom fields, task types, resource groups, status dates, and progress updating.
  • Strong Excel skills, including working with macro-enabled workbooks.
  • Comfort running and maintaining a VBA macro, even if you didn't write it.
  • An eye for data that doesn't add up, and the habit of checking before you publish.
  • Clear, respectful communication with field crews, project managers, and general contractors.
  • Interest in using AI tools like Claude responsibly: you give clear instructions, verify outputs, and know when to override the assistant.
  • Clear, respectful communication
  • Basic Proficiency in English is required. Candidates must have a basic understanding of English for safety purposes and to communicate with colleagues, vendors, and contractors on-site effectively. The ability to follow instructions and engage with the team is essential for success in this role.

Preferred Qualifications

  • Familiarity with SharePoint folder structure, OneDrive version history, and document version control.
  • Hands-on use of an AI assistant (Claude or similar) for analysis or reporting, and the judgment to check its work.
  • Familiarity with VBA in MS Project, SharePoint, and OneDrive file management.
  • Experience training field staff on new forms or processes.
