We have an exciting opportunity for a Project Coordinator to join our quickly growing team. In this role you will serve as a key point of contact for our customers, employees, and clients. We are seeking a motivated and engaging person who enjoys multi-tasking, learning on the job, and providing simultaneous support in an administrative support capacity.
Job Expectations:
This list is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and duties performed. Essential duties and responsibilities may include, but are not limited to, the following:
Project Coordination Responsibilities:
Serve as coordination link between Sales, Field Technicians, Superintendent, and Operations.
Track project milestones including submittals, approvals, permitting status, and material release.
Support project turnover from sales to operations with organized documentation.
Assist with change documentation and internal communication flow.
Participate in internal coordination meetings as needed.
Manage open project spreadsheet.
Manage a high volume of emails.
Administrative tasks including:
Project and Change Uploads
Prepare and submit monthly progress billings, manage GC portals (i.e. Textura, GC Pay, Procore), process lien waivers.
Contract coordination including COIs.
Assist with project invoice dispute resolution.
Assist with purchasing and vendor dispute resolution.
Track and resolve outstanding accounts receivable.
Department Support Responsibilities:
Assist with permitting processes and AHJ submission tracking.
Maintain organized project files and documentation standards.
Provide administrative and coordination support to ensure project execution remains efficient and structured.
Utilize software including Raken, Great Plains, MS Excel, Teams & Outlook, Adobe
Back-up other administrative positions to offer complete customer service to both internal and external customers.
Data Entry, Filing, other administrative support for fellow employees
Format and word process complex documents, reports and contracts, spreadsheets, graphics and other diverse content.
Coverage for vacation/sick days
Other duties as assigned.
Full time office-based position. Office is located at 6395 East Platte Ave, Colorado Springs, CO 80915.
