Project Coordinator

Location: Atlanta, GA
Job Type: Contract-to-Hire

Position Overview

We are seeking an experienced Project Coordinator for a contract-to-hire opportunity in Atlanta, GA. The Project Coordinator will support engineering and construction projects by collaborating closely with the Project Manager and project team to coordinate project information, communications, documentation, administrative activities, and execution requirements.

This position serves as a key point of coordination between internal project teams, clients, vendors, suppliers, and other stakeholders. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities while supporting projects from initial setup through closeout.

Key Responsibilities

  • Collaborate with Project Managers and project teams to facilitate engineering and construction projects.
  • Coordinate and disseminate project information to vendors, suppliers, clients, and internal project teams.
  • Research and resolve project-related questions by providing accurate and appropriate information.
  • Prepare and present meeting notes, presentations, tables, reports, and other project-related materials using Microsoft Word, Excel, Access, PowerPoint, and other software programs.
  • Manage project setup preparation and compile documentation updates.
  • Monitor project deadlines, milestones, benchmarks, and deliverables.
  • Support the preparation and presentation of monthly progress reports, including action items and project updates.
  • Plan, coordinate, and facilitate on-site and off-site project meetings, including project orientations, training sessions, stakeholder meetings, team meetings, and periodic project reviews.
  • Coordinate required training programs and maintain training records for project personnel in conjunction with corporate training departments and project requirements.
  • Obtain physical sign-offs for project documents and maintain accurate electronic and paper files.
  • Verify the accuracy and compliance of bills, invoices, trip tickets, and expense reports with project requirements and process items in a timely manner.
  • Coordinate IT resources for project offices and staff by working with internal support departments.
  • Provide follow-up reports regarding accounts receivable and unbilled issues as assigned.
  • Administer project closeout activities.
  • Prepare project cost forecast updates.
  • Run and review PPS reports.
  • Establish priorities and deadlines for project deliverables.
  • Investigate project expenses that have not been billed to the client and report findings to the Project Manager.
  • Assist Project Managers with the preparation of client contracts and subcontracts.
  • Develop procedures related to internal project requirements.
  • Perform other duties as assigned.
  • Comply with all company policies, procedures, and applicable standards.

Required Qualifications

  • Bachelor's degree in a related field and a minimum of 8 years of relevant experience; or
  • Associate degree in a related field and a minimum of 10 years of relevant experience; or
  • High school diploma/GED and a minimum of 11 years of relevant experience.
  • Previous experience supporting engineering, construction, or other complex project environments is strongly preferred.
  • Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint.
  • Ability to work independently while demonstrating accuracy, reliability, organization, and strong problem-solving skills.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, priorities, and deadlines simultaneously.
  • Demonstrated ability to communicate effectively with individuals at all levels of an organization.
