Position Summary
The Project Coordinator at Mass Insight will play an important role in supporting the operations of our Advanced Placement program and other organizational initiatives. The role will coordinate projects and timelines, manage data and administrative processes, support events and program activities, and communicate with school administrators, teachers, students, and other partners.
We’re looking for someone who is a strong communicator, takes initiative, and enjoys managing multiple priorities in a fast-paced environment. The ideal candidate is highly organized, dependable, comfortable working with data and technology, and able to learn new systems and processes quickly.
The Project Coordinator will report to the Director of AP Operations and will collaborate with program and project leaders across Mass Insight, providing an opportunity to contribute to a range of initiatives that support our work with schools and communities.
The AP Program has three core components that require operational support:
School Administrators:
- Manage quarterly newsletter development and launch
- Manage and Lead the Data Roster collection and process (i.e., request, follow up, collect and track data rosters, support schools with secure upload troubleshooting, and accounting for deadlines, formatting and completion requirements)
- Manage Data Lead Stipends process
- Generate invoices, launch, and collect school program fess
- School administrative and tracking management (e.g., school status, program maps, school renewals, etc.)
Teachers:
- Support the annual AP Summer Institute (APSI) with event logistics (e.g., website management, registration management, frontline for inquiries, invoicing, certificates of completion, survey analysis, potential onsite event support, online event support, etc.)
- Support the annual Fall (“2-Day”) Workshop with event logistics (e.g., website management, registration management, frontline for inquiries, invoicing, certificates of completion, survey analysis, potential onsite event support, online event support, etc.)
- Support monthly newsletter development and launch, as needed
Students:
- Manage monthly online Webcasts and Learning Library (e.g., support scheduling, set up zoom links, send out invitation and reminders, track and log attendance in Mi’s electronic system)
- Support the Mock Exam process (e.g., support teachers with the ordering and administrative process)
- Support the annual AP Summer Bridge Program, as needed
Non-AP Program:
- Based on the workflow and organizational needs, this role may be asked to provide temporarily support to other areas of the organization
General:
- Build strong relationships with program partners
- Manage external communications and act as frontline for general inquiries (at all levels [school, teacher, students], as appropriate
- Coordinate and support internal structures for learning and continuous improvement
- Support any change management efforts to improve the AP Program and Mi’s other programs in general
- Produce participation reports to share internally and/or with participating schools and districts, as needed
Qualifications:
- Be adept at data collection and visualization for reporting/presentation purposes
- Have at least 1 year of project coordination or event planning experience
- Have superior communication skills
- Able to learn new technology and platforms quickly
- Detail-oriented skills, and project and data tracking skills
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint), and Google Suite
- Ability to self-manage among competing priorities
- Ability and comfort to pivot daily tasks based on changing environments or unforeseen priorities
Preferred:
- Hold a Bachelor’s Degree
- Experience with large-scale data collection within a tight timeline
- Experience with public schools
- Experience with Salesforce and Zoom
