Description

We are seeking an experienced Project Coordinator to provide critical operational and administrative support to a high-performing project management team within a growing commercial general contractor. This role serves as the organizational backbone for Project Executives, ensuring projects move efficiently through documentation, procurement, coordination, and closeout activities.

Description

The Project Coordinator - Remote - QSR will be responsible for:

    • Provide direct administrative support to Project Executives, including calendar management, meeting coordination, and permit procurement.
    • Serve as a key point of communication between Project Executives, Project Managers, Superintendents, subcontractors, vendors, and clients.
    • Manage and maintain critical project documentation, including RFIs, submittals, architectural drawings, and project records.
    • Prepare, organize, distribute, and track bid packages, RFPs, and construction-related documents.
    • Monitor and track subcontract agreements, purchase orders, and change orders throughout the project lifecycle.
    • Assist with procurement activities by collecting vendor quotes, processing purchase orders, and tracking materials and equipment deliveries.
    • Support project closeout efforts by compiling warranties, O&M manuals, punch lists, and final project documentation.
    • Coordinate and communicate project updates to ensure deadlines and deliverables are met.
    • Maintain accurate project records and ensure compliance with company processes and documentation standards.
    • Proactively identify potential project issues and help facilitate solutions before they impact schedules or budgets.



Profile

The Project Coordinator - Remote - QSR should have:

    • Minimum of 5 years of project coordination or project administration experience supporting a General Contractor.
    • Minimum of 5 years of successful remote work experience with a dedicated home office environment.
    • Advanced proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
    • Hands-on experience using Procore for document management, RFI tracking, and daily reporting.
    • Strong working knowledge of Bluebeam for document editing, markups, and takeoffs.
    • Excellent verbal and written communication skills with the ability to work effectively across internal and external stakeholders.
    • Exceptional organizational and time management skills with the ability to manage multiple priorities and deadlines.
    • Ability to work independently while collaborating effectively within a remote team environment.
    • Detail-oriented mindset with a proactive approach to problem-solving and project support.
    • Experience supporting commercial construction projects is strongly preferred.

Requirements 5+ years of construction Project Manager experience with a general contractor is required Experience on ground-up education, healthcare, and/or commercial construction projects is required Bachelor's Degree in Construction Management, Civil Engineering or relevant degree preferred Applicable Project Management Software experience preferred Developed thorough understanding of corporate and industry practices, processes, standards, etc. and their impact on project success Maintains good communication and interpersonal skills to interact with anyone from clients to subcontractors Must be a business-oriented person and act professionally when representing the employer at any level Local to Charlotte preferred, though relocators will be considered
