Description
Our boutique healthcare communications agency is seeking a Program Coordinator or Program Manager to join its Client Services team in Chicago.
This role involves coordinating multiple client initiatives, supporting account leads, and working cross-functionally with internal teams, external vendors, and healthcare professionals to ensure seamless execution and outstanding client service.
Key Responsibilities
Support account leaders in planning and executing client projects in alignment with specifications and timelines
Oversee and manage day-to-day tasks to keep projects moving forward efficiently
Prepare and manage budgets and timelines; adjust project plans as needed
Communicate clearly with clients through written updates and verbal check-ins
Coordinate logistics for meetings and events (onsite and virtual), including speaker recruitment, venue booking, AV setup, travel arrangements, and budget reconciliation
Engage healthcare professionals and vendors to fulfill program needs
Support new business development by contributing to proposals and market research
Build and maintain strong working relationships with clients to support long-term partnerships
Qualifications & Skills
Bachelors degree required
Experience in promotional medical communications is a plus, but not required
Strong communication skills (written and verbal)
Detail-oriented with excellent organizational and problem-solving skills
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Meeting planning experience is a plus
Ability to travel occasionally
