Project Manager

CORE RESPONSIBILITIES: To perform the job successfully, an individual must be able to perform each essential duty satisfactorily.

• Works with individuals assigned to new projects to organize the project execution team, gather documentation, and develop necessary action plans to execute the project.
• Responsible for reviewing project documents, including contracts, plans, specifications, and all related documentation, and tailoring project deliverables accordingly.
• Ensures the Customer Support team has entered the order into the ERP system.
• Works with internal colleagues to verify purchase order details, including scope, price, etc.
• Ensures documentation is sent to the Contract Team for review.
• Hosts project kick-off meetings.
• Responsible for aligning the project execution team with project deliverables and timelines.
• Serves as the main point of contact for customers, suppliers, and colleagues to effectively execute project deliverables.
• Reviews submittal requirements and all technical requirements of the project.
• Ensures the project execution team develops submittals in accordance with project requirements and timelines.
• Works with third-party vendors to ensure submittals for buyout items are developed in accordance with specifications.
• Upon receiving an approved technical submittal from the customer, works with the project execution team to ensure all equipment is released to the appropriate parties.
• Ensures intercompany purchase orders and documentation are released to have the product offering placed into production.
• Ensures the project execution team procures all products from the appropriate parties.
• Works with third-party vendors to acquire buyout items.
• Partners with the procurement team to maintain project profitability by managing the cost of products from third parties.
• Works with internal systems and colleagues to obtain Xylem products from internal warehouses.
• Ensures compliance with project schedules.
• Works closely with the project execution team, Operations, Supply Chain, and other internal colleagues to manage customer deadlines and project requirements.
• Maintains continuous contact with customers to manage customer expectations regarding project timelines and deliverables.
• Ensures the project execution team receives any necessary testing approval.
• Works closely with engineering and operations if any testing is not approved to determine next steps to obtain approval.
• Ensures the project execution team develops O&Ms in alignment with project requirements and schedule.
• Ensures the project execution team ships, delivers, and bills equipment in accordance with delivery and invoicing plans.
• Works with freight forwarders to understand estimated delivery timelines and works to adjust if needed.
• Works closely with customers and internal team members to understand risks and mitigate potential delays.
• Takes a proactive approach to manage deliveries and customer expectations.
• Coordinates start-up and commissioning services.
• Ensures the project execution team bills in accordance with the invoicing plan.
• Works closely with customers to ensure expectations are met and helps to ensure proper project close-out.
• Creates project handover to aftermarket for further aftermarket support.
• Participation in Xylem Watermark volunteer activities.

Minimum Qualifications:

• Education: Bachelors Degree with PMP (or similar designation) preferred.
• Experience: 3-5+ years of relevant experience.
• Skills & Abilities:
• Hands-on project management experience in water, industrial, construction, or mining environments.
• The ideal background includes managing field-based technical projects, coordinating cross-functional crews, and working directly with equipment, infrastructure, or site operations in fast-paced, rugged settings.
• Willingness and ability to provide superior customer support at all times.
• Ability to effectively communicate verbally and in writing.
• Strong problem-solving and negotiation skills.
• Effective interpersonal skills with customers, coworkers, and the management team.
• Strong teamwork and organizational skills with the ability to multi-task.
• Proficiency in Microsoft Office products and the use of computer applications.

Day in the Life:

• This role includes the use of a company vehicle and requires regular travel to four sites located within approximately one hour of Jacksonville.
• The position operates in a hybrid capacity, with an expectation of being on-site at least three days per week to support operations, collaborate with teams, and maintain a strong presence across the facilities.
• Intermittent exposure to job site conditions, e.g., gas fields, petrochemical refineries, mills, mines, construction sites, industrial/power plants, wastewater treatment plants, etc.
• Intermittent exposure to shop noise and fumes.
• Travel as required to fulfill the duties listed above or as required by the Company.
• Light lifting of 20-25 pounds.

Compensation & Benefits:

• The estimated salary range for this position is $80,000 to $100,000 plus bonus.
• Starting pay is dependent on multiple factors, such as skills, experience, and work location, and is not typically at the top of the range.
