Description
Job Summary
The Purchasing Agent supports procurement operations by managing small-scale purchasing activities, coordinating solicitations, issuing purchase orders, reviewing bids, administering contracts, and ensuring compliance with procurement policies and procedures. The role works closely with vendors and internal departments to provide efficient purchasing support and maintain accurate procurement documentation.
Duties and Responsibilities
Execute procurement activities for small purchases and assigned solicitations.
Prepare and manage Requests for Proposals (RFPs) and Invitations for Bids (IFBs).
Ensure procurement specifications are included in solicitation packages.
Gather vendor quotes and coordinate bid and proposal processes.
Distribute solicitation packages and communicate with vendors, contractors, and consultants.
Review and tabulate bids and proposals.
Coordinate contract approval and execution processes.
Issue purchase orders (POs) for procurement activities.
Ensure procurement documents, certifications, and records are complete and accurate.
Process purchase order modifications and updates.
Perform contract closeout activities.
Maintain procurement records in approved systems.
Monitor work activities and prepare procurement reports.
Provide responsive customer service to internal departments.
Complete required training and perform additional procurement duties as assigned.
Requirements
Bachelor's degree or 5 years of related procurement experience.
Degree in Business, Public Administration, Engineering, Economics, IT, or a related field.
Knowledge of procurement and purchasing processes.
Experience using Microsoft Office and procurement systems such as Oracle ERP.
Strong written and verbal communication skills.
Good organizational, documentation, and customer service skills.
Ability to manage multiple procurement tasks efficiently.
