Position Summary

The Rebates Coordinator is responsible for managing and administering vendor and customer rebate programs. This role ensures accurate tracking, reconciliation, and reporting of rebate agreements while maintaining compliance with contractual terms and internal financial controls. The position requires strong analytical skills, attention to detail, and cross-functional collaboration with Sales, Purchasing, Accounts Payable, and vendors.

Key Responsibilities

Rebate Administration

• Maintain and manage vendor (buy-side) and customer (sell-side) rebate agreements
• Interpret rebate contracts, including tier structures, exclusions, and eligibility criteria
• Advise Contract Analysts on rebate set up to update rebate programs in internal systems

Tracking & Reconciliation

• Track rebate accruals monthly
• Reconcile rebate balances against vendor statements and internal records
• Investigate and resolve discrepancies in a timely manner

Claims & Collections

• Prepare and submit rebate claims to vendors per agreement terms
• Monitor outstanding claims and follow up to ensure timely payment
• Coordinate with Accounts Payable to apply rebate credits correctly

Financial Reporting

• Assist in monthly, quarterly, and year-end close processes related to rebates
• Provide reporting and analysis on rebate performance, trends, and variances
• Ensure proper GL coding and financial treatment of rebates

Cross-Functional Collaboration

• Work closely with Sales and Purchasing teams to validate rebate opportunities
• Communicate with vendors regarding rebate terms, claims, and discrepancies
• Support audits by providing documentation and explanations of rebate activity

Qualifications

Education & Experience

• 2-5 years of experience in rebates, accounting, or industrial distribution (strongly preferred)
• Experience with high-volume transactional environments

Skills & Competencies

• Strong analytical and reconciliation skills
• Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP)
• High attention to detail and accuracy
• Ability to manage multiple priorities and meet deadlines
• Strong written and verbal communication skills
• Experience with ERP systems

Preferred Qualifications

• Experience with complex rebate structures (tiered, growth-based, special pricing agreements)
• Knowledge of industrial distribution business models and pricing strategies
• Familiarity with general ledger and financial reporting processes

Work Environment

• Office-based or hybrid role
• Fast-paced, deadline-driven environment with high transaction volumes
