The Reception & Office Operations Coordinator will serves as the first point of contact and a central operational presence at The Lumistella Company. This role is responsible for creating a professional,welcomingenvironmentforemployees,visitors,andexternalpartnerswhileensuring the office operates smoothly and efficiently.
 
In addition to front-desk and facilities coordination responsibilities, this position provides administrative support to senior leaders and assists with cross-functional office needs. The ideal candidate is polished, organized, service-oriented, and takes pride in maintaining a high standard of professionalism in all interactions.
TheReception&OfficeOperationsCoordinatorwill:
  • Serveastheprimaryambassadorfortheoffice,greetingvisitorsandensuringa professional and welcoming experience.
  • Managevisitoraccess,issuebadges,andmaintainsecurityawareness.
  • Notifyappropriatepersonnelofvisitor arrivals.
  • Answeranddirectincomingcallswithprofessionalismandefficiency.
  • Maintainaclean,organized,andpresentation-readyreceptionareaatalltimes.
  • Support daily office operations to ensure common areas, conference rooms, kitchen/breakrooms,andsupplyareasarewell-maintained,stocked,andorganized.
  • Coordinatemeetingroomsetupandbreakdown,includingfoodordersandmaterials preparation.
  • Assistwithmaildistribution,shippingcoordination,andpackage management.
  • Manageofficesupplyinventoryandplaceordersasneeded.
  • Coordinatewithpropertymanagementonfacility-relatedneeds,includingservice requests and freight elevator scheduling.
  • Supportcompanyevents andin-officemeetingsas needed.
  • ProvideadministrativeassistancetoSVP-levelleadersandotherdepartmentsas assigned
  • Assistwithcalendarcoordination,meetinglogistics,anddocumentpreparation.
  • Prepareshippinglabels,scanandorganizedocuments,andperformotherclerical duties as needed.
  • Supportexpensesubmissionsandbasicreportingtasks.
  • Maintaindiscretionandconfidentialitywhenhandlingsensitive information.
  • Serveasbackupsupport totheOfficeAdministratorasneeded.
  • Helptrainandguidebackupreceptioncoveragestaff.
  • Exercisesoundjudgmentinrespondingtoquestions,redirectinginquiries,and prioritizing daily responsibilities.
  • Demonstrateflexibilityandasolutions-orientedmindsettoensureseamlessday-to-day operations.
  • Protectcompanyassetsthroughthepropermanagementofassetfilesandadherence to company policy with regard to information security and management.

Theidealcandidatewillbring:
  • 3–5+yearsofexperienceinareceptionist,officecoordination,administrative,or facilities support role
  • Experiencesupportingseniorleadersormultiplestakeholderspreferred.
  • IntermediatetoadvancedproficiencyinMicrosoftOffice(Word,Excel,PowerPoint, Outlook)
  • ExperienceusingMicrosoftTeamsandothercollaborationtools.
  • Strongwrittenandverbal communication skills
  • Professionalphonepresenceandin-persondemeanor
  • Abilitytomanagemultipleprioritiesandremaincomposedamidinterruptions.
  • Excellentorganizationalskillsandattentiontodetail
  • Demonstratedmaturity,tact,andsoundjudgment.
  • Abilitytomaintainconfidentialityandhandlesensitiveinformationappropriately.
  • Typingproficiencyof40+wordsperminute
 Education requirements:
 
  • HighSchoolDiplomaorGEDrequired.Additionaladministrativeorbusiness coursework is a plus.
