Position Summary

Sigma Inc. is seeking an experienced and professional Receptionist to support our client, the Commonwealth of Massachusetts Department of Transportation (MassDOT), in Boston, MA. This is a fully onsite, 3-month contract opportunity located at 110 Park Plaza.

The ideal candidate will possess strong customer service, receptionist, and administrative support experience with the ability to manage front desk operations, coordinate office activities, and provide exceptional service to visitors, staff, and business partners.

Key Responsibilities

  • Receive incoming calls and direct callers to the appropriate department or personnel.
  • Greet visitors, clients, meeting attendees, and staff in a professional and courteous manner.
  • Answer, respond to, and route telephone inquiries efficiently.
  • Manage front desk and reception area activities.
  • Purchase, maintain, and monitor office supplies and inventory.
  • Perform scanning, copying, printing, and document distribution tasks.
  • Coordinate daily mail pickup, sorting, scanning, and distribution.
  • Schedule meetings using Microsoft Outlook, including conference room reservations and calendar management.
  • Send meeting invitations to internal and external stakeholders, partners, and associates.
  • Maintain conference room schedules and ensure meeting spaces are prepared.
  • Provide administrative support to staff and leadership as needed.
  • Assist with various clerical and office support functions to ensure smooth daily operations.

Required Qualifications

  • Previous experience as an Administrative Assistant, Receptionist, Front Desk Coordinator, Office Assistant, or related administrative role.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Experience scheduling meetings and managing calendars in Outlook.
  • Ability to multitask and prioritize work in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Comfortable interacting with the public, employees, and external stakeholders.
  • Positive attitude and professional demeanor.

Preferred Qualifications

  • Experience supporting government agencies, public sector organizations, or transportation departments.
  • Experience with office operations, mail distribution, and conference room management.
  • Familiarity with document scanning and electronic filing systems.
