Position Summary

We are seeking a professional, organized, and customer-focused Receptionist to support daily office operations and serve as the first point of contact for visitors, employees, and external partners. This role is responsible for front desk reception, administrative support, calendar management, office coordination, event support, and facilities administration. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Greet and assist visitors, clients, and vendors in a professional and welcoming manner.
  • Manage incoming phone calls, emails, mail, and other correspondence.
  • Coordinate calendars, schedules, meetings, and conference room reservations.
  • Prepare, edit, and distribute documents, reports, presentations, and communications.
  • Maintain office records, filing systems, and distribution lists.
  • Support office operations, including supply inventory management and vendor coordination.
  • Assist with event planning, catering coordination, meeting setup, and post-event breakdown.
  • Collaborate with building management and service providers to ensure facility needs are met.
  • Coordinate maintenance requests, deliveries, security access, and office services.
  • Support workplace safety initiatives and assist with compliance-related activities.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Provide administrative support to leadership and cross-functional teams as needed.

Qualifications

  • Bachelor's degree preferred; equivalent experience considered.
  • 1+ years of administrative, receptionist, office coordinator, or related experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational, multitasking, and time management skills.
  • Excellent verbal and written communication abilities.
  • Professional demeanor with strong interpersonal and customer service skills.
  • Ability to work independently and collaboratively in a team environment.
  • Experience with office operations, event coordination, facilities support, or calendar management is a plus.
