REPORTS TO: FTS Facility Manager / Sr. Director of Operation
POSITION SUMMARY: Under the direction and supervision of the Administrative Assistant, the Receptionist is responsible for managing the switchboard, greeting guests, announcing all visitors, provide clerical assistance when required in addition to monitoring the front desk and general security of the reception area.
POSITION DESCRIPTION:
1) Manage the Switchboard and Front Desk Area
Respond to incoming telephone calls and direct them to the appropriate parties.
Respond to telephone inquiries and take messages in a professional manner including management of the departmental voice mail system, telephone logs, and paging.
Prepare and maintain all office files and records as per agency requirements.
Back up to mailroom staff.
Perform data entry as directed or indicated including ID and access control system.
Screen all persons arriving.
Document incidences on appropriate forms and follow reporting protocol.
Respond to alarms and/or telephone/radio calls by taking appropriate action.
Facilitate the issuance of all visitors' passes
Ensure the safety of all visitors, and staff within the building.
Maintain good working relationships with staff members throughout the agency.
All other duties as assigned by the facility manager.
2) Compile and Generate Reports, Letters, and Documents:
Collect, maintain, and prepare statistical data and reports that contribute to the operation and management of the department.
Manage word processing of letters, reports, and other documents for the department.
Perform proofreading and research work.
Prepare reports for internal and external distribution, photocopy, and assemble material as required.
3) Attend Meetings, Seminars as Assigned:
Attend meetings as assigned.
Attend annual in-service as required or mandated.
Requirements
High School Diploma or equivalent and 1-year experience in a Social Service setting.
Prior Receptionist & Security experience a plus.
Strong Mathematical skills
Excellent verbal and written communication skills.
Must be able to read, write and speak the English language.
Must possess sight and digital senses or prosthetics that will enable the essential functions of the job to be completed.
