Job Summary:The Front Desk Receptionist serves as the information referral center for all residents, families, potential residents, staff, guests, community contacts, and others visiting the community. S/he must be aware of all daily activities, administrative staff, and management company roles and responsibilities and direct or answer questions accordingly. In addition, the Front Desk Receptionist shall provide support for some computer processing duties as appropriate.
Principal Duties/Responsibilities:Accounting
Assists Administrative Assistant/Executive Director as appropriate
Compliance and Safety
Competently responds to all emergencies as directedDemonstrates basic understanding of emergency call system and nurse paging system
Communication
Greets visitors immediately upon arrivalProfessionally handles all phone calls and routes callers or answers questions in a timely and courteous manner
Customer Service
Determines visitors needs in a timely mannerOffers refreshments (coffee, water, etc.) to visitors, where applicableEnsures pertinent information is gathered from visitors (i.e. prospect information form, etc.)Greets all residents, associates, and visitors with a warm smile and pleasant tone of voiceResponds to resident requests in a timely mannerManages doctor appointment bookManages beauty and barber appointment bookActs as concierge for residents (calling taxi's, handling telephone and/or cable problems, checking newspaper deliveries, etc.)
Facilities Maintenance
Keeps lobby clean and neat, free of clutter and trashOversees common bathroom, reporting soilage's to housekeeping as appropriateReports any mal-functioning equipment to maintenance
Sales
Promptly forwards inquiry calls to Marketing or designeeProperly documents and responds to marketing inquiriesAssists the Community Sales Team, lead by the Executive Director, with sales and marketing programs and initiativesRepresents the community with a positive attitude and pride when interacting with potential residents and families
Training
Participates in in-service trainings as required by state regulations
Miscellaneous
Assists with clerical work for all departments
Education/Experience/Licensure/Certification:
High school diploma or equivalent certificate preferred.
Required Skills/Abilities:
Possesses expert knowledge of telephone system and capable of teaching othersDemonstrates proficient computer skills (word processing, email, internet, Excel, etc.)Maintains awareness of all daily activities (and changes)Has full knowledge of the administrative staff, ownership, and management companyPossesses excellent verbal communication skills
