SUMMARY:

The Recreation Manager plays a vital role within the residence club and hospitality team, overseeing the planning and execution of engaging recreational programs. In collaboration with the Resort Manager, this position is responsible for curating and coordinating a diverse range of cultural, indoor, and outdoor activities tailored to guests of all ages. The Recreation Manager ensures that all experiences are inclusive, socially enriching, and designed to promote learning, connection, and enjoyment for both children and adults.

ESSENTIAL FUNCTIONS:

Essential functions as defined are ILLUSTRATIVE ONLY and not a comprehensive listing of all functions and duties performed by incumbents within this classification. Essential duties and responsibilities may include, but are not limited to, the following:

•  Maintain in-depth knowledge of the property, including residences, amenities, and development plans.
• Assess effectiveness and participation of recreation programs.
• Manage recreation inventory and coordinate purchases with the Resort Manager.
• Design and implement diverse recreation activities for all age groups.
• Continuously evaluate programs to align with guest needs and departmental goals.
• Oversee daily operations of the Timbers associated amenities such as yoga, Timbers Tykes, pool and lawn games, Farm events, honor snack refills, and other special events.
• Utilize SMS, Alice, Teams-Up, Court Reserve, and FareHarbor platforms for guest activity management.
• Participate in guest social events and follow up on related experiences.
• Support budget development to ensure cost-effective operations.

Leadership

• Recruit, lead and manage the recreation team, ensuring clarity of roles and responsibilities.
• Oversee the selection, training, professional development, and discipline of staff.
• Deliver ongoing training on safety protocols, health standards, and customer service.
• Plan, organize, schedule, review, and evaluate the work of department staff.
• Develops and directs the implementation of goals, objectives, policies, procedures, and work standards for the department.
• Oversee onboarding to ensure new hires are welcomed and properly trained.
• Promote and uphold the company’s Core Values and Mission within the recreation team.
• Conduct regular performance evaluations and provide developmental feedback.
• Maintain weekly schedules aligned with budgeted labor and occupancy levels.

Cultural Programming

• Develop, implement, and lead culturally appropriate arts, crafts, active, educational, and enriching activities that owners, members, and guests can participate in or observe.  Activities should be fun, engaging, and educational.

Outdoor Activities

• Plan and lead a variety of on-site and off-site recreation activities, including guided and self-guided adventures (e.g., nature walks, kayaking, biking), lawn and pool games, and seasonal or special events, such as Makahiki and festive activities. Ensure all activities are safe, enjoyable, and accessible to guests of all ages and abilities.

Pool Services

• Supervise recreation attendants to ensure pool areas are clean, organized, and safe.
• Maintain fresh towel availability, orderly lounge setups, and regularly inspect umbrellas and water stations.
• Carefully inspect and arrange pool furniture regularly.

Outside Contractors

• Oversee outside contractors and their activities. Current contracted activities include yoga and pool fitness.

Tennis, Pickleball, Spa and Farm Site Organization and Coordination

• Work with Resort Manager on court use reservations.
• Ensure tennis and farm facilities are kept in safe, operating condition.
• Coordinate with the Farm team to fulfill owner-specific requests, including farm baskets, produce picking, and seasonal harvests.
• Monitor, replace, and/or make recommendations for site maintenance.
• Ensure supplies, including play equipment, safety equipment, food and beverage offerings, etc. are properly stocked and in good condition.
• Assist with spa retail coverage.

Common goals

• Work with other department managers to ensure property goals are achieved.
• Contribute to management team initiatives.
• Other duties as assigned.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge and/or skill required.

Education and Experience

• High School Diploma or equivalent; additional education in hospitality management a plus.
• Proven experience in the same or similar role within the hospitality industry.
• Speak, read, and write English.
• Have a current Hawaii driver’s license.
• Have a current CPR/First Aid certification or ability to earn certification within six months of employment.
• Ability to give attention to detail.
• Ability to handle multiple tasks.
• Available to work various shifts, including evenings, weekends and holidays.
• Good judgement with the ability to make timely and sound decisions.
• Commitment to excellence and high standards.
• Versatility, flexibility, enthusiasm, and a willingness to work within changing priorities.

 Required Knowledge and Skills

• Strong leadership and supervisory skills to manage a regular and seasonal team.
• Excellent communication and interpersonal skills to interact with team members, owners, and guests.
• Ability to work under pressure and handle multiple tasks efficiently.
• Proficient in using standard computer software (e.g. Microsoft Word, Excel, Outlook,)
• Correct business English, including spelling, grammar, and punctuation.
• Techniques for dealing with a variety of individuals from various socio-economic, ethnic, and cultural backgrounds, in person, by video conference, and over the telephone.
