  • Maintain accurate candidate records, monitor pipeline activity, and ensure timely progression through each stage of the hiring process.
  • Partner with recruiters and hiring managers to identify scheduling needs, resolve logistical challenges, and keep recruitment activities on track.
  • Review and coordinate offer documentation to support a consistent and timely offer process.

  • Serve as a key contact for candidates throughout the recruitment and pre-employment process, providing timely communication, guidance, and follow-up.
  • Coordinate pre-employment onboarding activities, ensuring required documentation and clearances are completed accurately and within established timelines.
  • Administer and monitor background screening processes, including reviewing status updates, following up on discrepancies, and partnering with external vendors to resolve outstanding items.
  • Maintain accurate background screening reports and communicate potential delays or issues to the appropriate stakeholders.
  • Manage recruiting inboxes and respond to candidate and hiring manager inquiries with professionalism, discretion, and a strong customer-service mindset.
  • Handle sensitive candidate information and employment-related documentation with the highest level of confidentiality.

Early Career & Campus Recruiting

  • Support the coordination and execution of campus recruiting initiatives, including career fairs, university outreach, networking events, and other talent engagement activities.
  • Partner with internal stakeholders and campus contacts to coordinate event logistics, candidate communications, and recruitment materials.
  • Assist with the administration of internship, co-op, and rotational development programs, including scheduling, participant communications, and program-related activities.

  • Use data to identify outstanding items, monitor workflow progress, and support informed decision-making across the talent acquisition team.
  • Identify opportunities to streamline recruiting workflows, improve coordination practices, and enhance the candidate and stakeholder experience.
  • Assist with system updates, process documentation, and implementation of new tools or procedures.
  • Contribute to special projects and other operational initiatives that support the evolving needs of the talent acquisition function.

Qualifications & Experience

  • Previous corporate experience preferred, particularly in a role requiring coordination across multiple stakeholders.
  • Demonstrated experience managing complex calendars, coordinating interviews, or supporting high-volume administrative processes.
