An investment management firm is seeking a Recruiting Coordinator in Jersey City, NJ to support high-volume interview scheduling, candidate coordination, and day-to-day talent acquisition operations. This role is well-suited for a highly organized professional who can manage competing priorities, communicate clearly, and keep hiring processes moving smoothly.

About the Opportunity:

  • Shift: Day shift
  • Schedule: Monday - Friday
  • Hours: 8:00am to 5:30pm
  • Setting: In person

Responsibilities:

  • Coordinate high-volume interview scheduling across multiple rounds and panels.
  • Manage candidate flow, interview logistics, and calendar updates with accuracy.
  • Support the talent acquisition team by maintaining process trackers and related documentation.
  • Communicate with recruiters, hiring managers, candidates, and administrative partners to resolve scheduling changes quickly.
  • Use applicant tracking and office systems to pull resumes, send invitations, and keep records current.

Qualifications:

  • 1-2 years of experience in Recruiting Coordination, Human Resources, Administrative support, or a related Coordination role
  • Experience with heavy Calendar Management and high-volume Scheduling
  • Proficiency with Applicant Tracking Systems and Microsoft Outlook / Microsoft Office
  • Strong organizational skills, attention to detail, and ability to handle fast-moving priorities
  • Professional communication skills and comfort interacting with senior stakeholders

Desired Skills:

  • Experience in the Financial Services or broader Professional Services industry
  • Familiarity with iCIMS, Taleo, or similar recruiting systems
  • Background supporting interview logistics in a fast-paced administrative or events coordination environment
  • Ability to adapt quickly, stay composed under pressure, and manage frequent schedule changes
  • Experience maintaining candidate trackers, inboxes, or coordination workflows
