Description/Job Summary

The Intake Specialist reports to the Director of ELS and is responsible for providing assistance to the after-school program at various Baltimore City Schools. Responsibilities include liaising with the BCCC Program Coordinator and on site staff, coordinating on site activities, and managing volunteers and instructors. Specialist is expected to travel and attend after school programming as needed.

Responsibilities/Duties

  • Oversee day-to-day operations and provide support at Refugee Youth Project (RYP) sites in coordination with Site Coordinators and program staff, including travel to program locations as needed
  • Conduct student intake and enrollment activities in coordination with the Program Coordinator, Site Coordinators, and instructional staff
  • Maintain student, attendance, enrollment, and program data in collaboration with the Program Coordinator, Site Coordinators, and instructors to support grant reporting, compliance, and program evaluation requirements
  • Support the integration of community volunteers at RYP sites by assisting instructors and Site Coordinators with volunteer placement and day-to-day classroom support
  • Provide student referrals and support services by connecting participants and families to pathway programs, college resources, and community services
  • Support instructors and instructional activities by assisting with instructional materials, classroom resources, duplication, technology, and equipment needs
  • Provide instructional and classroom support as needed, including assisting instructors, supporting combined classes, and helping maintain continuity of instruction during staff absences under the direction of program staff and Site Coordinators
  • Assist the Program Coordinator and program staff with student recruitment, community outreach, and program promotion activities, including participation in outreach events and informational sessions
  • Support a safe, positive, and inclusive learning environment and comply with applicable college, school system, local, state, and federal policies and procedures
  • Maintain punctuality, attendance, and provide notification to supervising staff when appropriate
  • Attend required trainings, meetings, and program events, including occasional evening or weekend activities as needed
  • Perform other related duties as assigned.

Required Qualifications

Education

  • High School Diploma/GED

Experience

  • Have at least one (1) year of experience in the following:
  • Customer Service
  • Student Services
  • Case Management
  • Administrative Support
  • Microsoft Office Suite (Word, Excel, Outlook)

Required Knowledge, Skills and Abilities:

  • Organizational and record keeping skills with attention to details
  • Excellent oral and interpersonal communication skills,
  • Proficient in Microsoft Office Suite, specifically Excel, Word and PowerPoint
  • Ability to manage multiple projects in a dynamic environment
  • Ability to handle sensitive and confidential information
  • Ability to work independently on a variety of different projects
  • Must be self-motivated, able to accept responsibility and demonstrate initiative.
  • Must have a positive attitude and a willingness to learn new tasks
  • Some evening hours will be required

Work Environment:

This position typically works indoors in a standard office environment, generally free from hazardous or unpleasant physical conditions. Work involves minimal risk and observance of safety precautions typical of modern office settings. The work environment is highly diverse and demands a high level of cultural competence in interpersonal communications and interactions. Duties may require off site travel to meeting, job fairs, special events, etc.

Physical Demands:

The work entails sitting for extended periods and frequently standing, walking, bending, stooping and reaching. Work requires eye-hand coordination, manual dexterity, near vision acuity, and the ability to see and read printed material and computer screens. Duties involve oral, written, electronic and telephonic communication; typing; and lifting and transporting supplies/materials. Off-site travel duties are required to deliver materials.
