About the Role
The Rehabilitation Services Coordinator supports both the administrative intake workflow and the clinical operations of our Rehabilitation Services department, including Physical Therapy, Occupational Therapy, and Speech-Language Pathology. This hybrid role helps ensure a smooth, patient-centered experience by coordinating referrals, verifying insurance, managing documentation, and assisting therapists with patient flow and clinic readiness.
What You'll Do
Intake & Administrative Coordination
- Receive and process rehabilitation referrals from internal and external providers
- Contact patients to schedule evaluations and confirm appointment details
- Verify insurance coverage and obtain prior authorizations
- Ensure intake forms, consents, and documentation are completed and uploaded to the EHR
- Track referral status and follow up on missing or incomplete documentation
- Maintain accurate logs for compliance and quality assurance
- Communicate with therapists regarding patient readiness and scheduling needs
- Provide excellent customer service to patients, families, and referring providers
- Support coordination of care across departments and external partners
- Uphold HIPAA and confidentiality standards
Therapy Aide & Clinical Support
- Escort patients to and from treatment areas, including wheelchair transport
- Assist therapists with patient positioning, mobility, and exercise setup
- Observe patients during treatment and report concerns to the supervising therapist
- Administer delegated modalities (e-stim, ice, heat) within scope and training
- Prepare and clean treatment areas and equipment
- Perform opening and closing duties
- Change linens and restock supplies
- Assist with basic clerical tasks such as phones, messages, and forms
- Support patient flow to ensure efficient clinic operations
What You'll Bring
Required
- High school diploma or equivalent
- At least 18 years of age
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Ability to work collaboratively in a fast-paced clinical environment
- Professional appearance and conduct
- Ability to follow safety and infection control protocols
Preferred
- 1-2 years of experience in a healthcare or rehabilitation setting
- Experience with insurance verification or prior authorizations
- Familiarity with medical terminology
- Experience in an FQHC or outpatient clinic
- Proficiency with electronic health records (eClinicalWorks preferred)
- Bilingual (English/Spanish)
