Position Overview:
Our client, Boston University's Center for Career Development (CCD), is seeking a Temporary Assistant Director for Operations to provide operational support during a staff member's FMLA leave. This position is responsible for administering the Handshake and VMock career platforms, responding to user inquiries, maintaining account data, and ensuring daily operational tasks are completed efficiently. The ideal candidate is highly organized, detail-oriented, and experienced supporting users in higher education, career services, recruiting, or administrative environments.
Responsibilities
Administer and maintain Handshake user accounts for students, alumni, employers, and staff.
Review and process account requests, profile updates, and eligibility verification.
Respond to routine Handshake support requests, including login, account activation, and profile issues.
Troubleshoot common platform issues and escalate complex technical or policy-related matters.
Review employer accounts and job postings, identifying fraudulent or suspicious activity.
Assist users with appointment access and career service navigation.
Provide administrative support for the VMock platform, including account setup, access requests, module assignments, and troubleshooting.
Update user records, administrative labels, and perform routine data maintenance.
Maintain documentation, support trackers, and operational records.
Prepare weekly reports on request volume, outstanding issues, and escalated cases.
Update process documentation, templates, FAQs, and internal operational guides.
Support additional operational projects as assigned.
Required Qualifications
Bachelor's degree preferred or equivalent work experience.
Prior experience with Handshake or a comparable career services, recruiting, CRM, or applicant tracking platform preferred.
Strong customer service and administrative support experience.
Excellent written and verbal communication skills.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities while following established procedures.
Experience handling confidential information with professionalism.
Basic technical troubleshooting skills and proficiency with web-based applications.
Ability to work independently with minimal supervision.
Preferred Qualifications
Experience working in higher education or career services.
Familiarity with VMock or similar career development platforms.
Experience supporting students, alumni, employers, or academic departments.
Knowledge of Boston University systems and policies is a plus.
