Scion Staffing has been engaged to conduct a search for an Executive Assistant / Bookkeeper for a mission-driven nonprofit organization dedicated to strengthening local journalism and community impact. This is a fully remote, part-time, temp-to-hire opportunity with a preference for candidates located in the Austin, Texas area.

POSITION OVERVIEW:

This is an exciting opportunity to become a trusted right-hand partner to executive leadership while helping drive the daily operations of a growing nonprofit organization. In this highly collaborative role, you'll support executive administration, bookkeeping, payroll, communications, website management, and organizational operations, serving as an integral member of a small, mission-focused team. This position guarantees a minimum of 20 hours per week and requires consistent availability Monday through Friday from 9:00 AM-1:00 PM CT, including a required Tuesday 9:00-10:00 AM CT KPI meeting, with flexibility outside of these core hours based on workload.

RESPONSIBILITIES:

  • Provide executive administrative support, including calendar management, meeting coordination, scheduling, email communications, and day-to-day operational assistance.

  • Manage bookkeeping functions, including QuickBooks, payroll processing through OnPay, contractor payments via Melio, budget tracking, and financial record maintenance.

  • Coordinate newsletters, maintain Airtable databases, update website content through WordPress, and manage community communications using Mailchimp and other digital platforms.

  • Support recruiting, onboarding, grant tracking, contractor coordination, Zoom meetings, and additional organizational initiatives as needed.

  • Publish website content, complete daily editorial support, and respond to time-sensitive operational needs during required business hours.

  • Independently prioritize multiple projects, maintain strict confidentiality, and serve as a dependable operational extension of executive leadership.

QUALIFICATIONS:

  • Experience supporting executives while managing bookkeeping, office administration, operations, or business support functions.

  • Working knowledge of QuickBooks and experience using platforms such as Google Workspace, Microsoft Office, Zoom, WordPress, Airtable, Mailchimp, OnPay, Melio, or the ability to quickly learn new software.

  • Exceptional organizational, communication, and time management skills with strong attention to detail.

  • Self-motivated and comfortable working independently in a remote, fast-paced, entrepreneurial environment.

  • Passion for nonprofit work with a collaborative, service-oriented approach and the ability to wear multiple hats.

COMPENSATION AND BENEFITS:

  • $26.00-$28.25 per hour, depending on experience.

  • Fully remote, part-time, temp-to-hire opportunity.

  • Guaranteed minimum of 20 hours per week.

  • Required availability Monday-Friday from 9:00 AM-1:00 PM CT, including the weekly Tuesday 9:00-10:00 AM CT KPI meeting. Outside of these core hours, work may be completed on a flexible schedule based on deadlines and organizational priorities.
