Rental Billing & Portal Invoicing Analyst — Full-Time, Houston, TX
Step into a pivotal role at Transwest Mobile Truck Repair where accuracy meets momentum. As our Rental Billing & Portal Invoicing Analyst, you’ll be the day-to-day owner of rental invoicing and a primary contact for customers, ensuring every invoice flows smoothly from creation to payment. You’ll work extensively inside customer billing portals, troubleshoot exceptions, and keep deadlines on track in a fast-moving operation. Bilingual English/Spanish professionals are strongly preferred.
A Day in the Life
You start by reviewing yesterday’s rental activity, verifying rates, dates, and equipment details against agreements. A quick check of Coupa, Ariba, MLA, One Bill, Corrigo, Holman, and AutoIntegrate shows a few approvals, one rejection to resolve, and an expiring PO to update. You collaborate with operations to clarify a work order, correct and reissue an invoice, and then close out the afternoon reconciling month-to-date billing and aging.
Core Responsibilities
Rental Billing & Invoicing (Primary)
- Own billing for rental operations as the central focus of the role.
- Create and dispatch precise invoices aligned to contract terms and billing calendars.
- Manage time-based cycles (daily, weekly, monthly, and 28-day) and set/fixed-rate structures.
- Validate rental agreements and work orders prior to invoicing.
- Confirm rates, equipment, service dates, and all applicable charges are accurate.
- Resolve discrepancies by partnering with field and operations teams.
- Maintain organized, properly coded billing records.
Billing Portal Management
- Submit invoices through customer portals: Coupa, Ariba, MLA, One Bill, Corrigo, Holman, and AutoIntegrate.
- Track approval status, rejections, and exceptions; resolve issues rapidly.
- Ensure each submission meets unique customer requirements to avoid delays.
Additional Customer Billing
- Support non-rental account invoicing as bandwidth allows.
- Audit service tickets, sales orders, and supporting documentation pre-invoice.
- Amend and resend invoices to answer questions or fix discrepancies.
Customer Communication & Purchase Orders
- Serve as a primary billing point of contact with clear, professional communication.
- Proactively request required purchase orders (POs) before invoicing.
- Monitor and follow up on outstanding or expiring POs to prevent delays.
- Address billing inquiries and disputes with a solutions-first mindset.
- Coordinate with operations and account managers to keep records current.
Reporting & Administration
- Assist with month-end close, including billing reconciliation and invoice aging reviews.
- Keep digital and physical records organized per retention policies.
- Support ad hoc finance and billing projects as needed.
What You’ll Bring
- 2+ years of hands-on billing/invoicing experience.
- Proficiency using customer billing portals (Coupa, Ariba, MLA, One Bill, Corrigo, Holman, AutoIntegrate).
- Experience with rental billing (time-based cycles and set/fixed-rate models).
- Proven experience obtaining and tracking customer POs.
- Strong, professional customer communication and problem-solving skills.
- Advanced Microsoft Excel skills and comfort with accounting/ERP tools.
- High attention to detail and accurate data entry.
- Ability to prioritize and meet deadlines in a high-volume setting.
Preferred
- Bilingual English/Spanish (spoken and written).
- Background in equipment rental billing.
- Experience in fleet services, truck repair, or field services.
