About the Role

A well-established property restoration company in Spokane, Washington is hiring a Restoration Project Coordinator to keep water, fire, smoke, mold, and reconstruction jobs moving from the first call to final billing. From the office, you'll set up and manage job files, schedule crews and subcontractors, and keep property owners, adjusters, and project managers informed every step of the way. If you're organized, detail-driven, and good with people on a stressful day, this is a long-term career move.

Key Responsibilities

  • Set up new jobs and gather loss details, contacts, and insurance information, then keep every job file complete and current from start to close-out
  • Schedule and dispatch technicians, crews, and subcontractors, and coordinate equipment, services, and deliveries
  • Serve as a main point of contact for property owners, insurance adjusters, and third-party administrators (TPAs), with timely status updates and quality-assurance calls
  • Review and validate field documentation, photos, moisture readings, and daily reports, and label and upload them to job management systems (DASH, XactAnalysis, MICA, or similar)
  • Prepare preliminary estimates and help with change orders and supplements in Xactimate, working with estimators and project managers
  • Track work-in-progress (WIP), job file audits, and client and carrier requirements so files stay compliant and on schedule
  • Onboard subcontractors and vendors, track their documentation and compliance, and help process their invoices
  • Prepare payment schedules and invoices, and support accounts receivable with collections and outstanding paperwork
  • Complete job close-out, including Certificates of Satisfaction, warranty documentation, and final file upload
  • Support project managers and the office team with meetings, reports, and other duties as needed

Required Qualifications and Credentials

  • 1-2+ years of administrative, office, customer service, or project coordination experience (restoration, construction, or insurance experience strongly preferred)
  • Strong organizational skills and attention to detail, with the ability to juggle multiple jobs and deadlines
  • Clear, professional written and verbal communication, and the ability to stay calm with upset customers
  • Proficient in Microsoft Office (Outlook, Word, Excel) and quick to learn new software
  • High school diploma or GED
  • Able to pass a background check
  • Experience with Xactimate, XactAnalysis, or DASH, writing estimates, and the insurance claims process a plus
