Due to continued growth, Donley's Cleveland office is seeking a full-time Legal and Risk Administrative Assistant to join our team and provide high-level administrative and organizational support to the General Counsel and Risk Manager. This role requires strong attention to detail, discretion with confidential/legal matters, and the ability to manage multiple priorities across legal, insurance, and risk management functions related to construction operations.

Job Details
Legal & Contract Support
- Maintain contract/policy/license/registration logs/databases and track key dates (deadlines, renewals, expirations)
- Coordinate with outside counsel, subcontractors, and vendors for claim processing and management
- Support litigation
- Assist in preparing, reviewing, and tracking construction contracts, subcontracts, and vendor agreements and claims files
- Manage lien filings and related issues.
- Review and maintain information relating to required licensing/registrations
Risk Management & Insurance Support
- Assist in preparing and submitting bond applications (bid, performance, and payment bonds) to sureties
- Coordinate with surety agents/underwriters on documentation requests and renewal timelines
- Assist in tracking certificates of insurance (COIs) for subcontractors and vendors
- Assist in enrollment and tracking of subcontractors participating in Owner/Contractor-Controlled Insurance Programs (OCIP/CCIP)
- Maintain claims logs (general liability, workers' comp, auto, property) and follow up with adjusters/brokers
- Support renewal process for corporate insurance policies
- Help prepare incident/accident reports and maintain safety/risk documentation
- Assist in managing subcontractor and vendor prequalification submissions
- Coordinate scheduling of pre-employment, random, post-accident, and reasonable-suspicion drug/alcohol testing
- Track auto insurance coverage, driver qualification files, and MVR (motor vehicle record) checks for Company Fleet Program
General Office & Compliance
- Support budget tracking for legal/risk department expenses
- Handle special projects as assigned
Required Qualifications:
- High school diploma required; Associate's or Bachelor's degree preferred.
- 3+ years administrative experience, preferably supporting legal, risk, or insurance functions
- Experience in construction industry or with construction contracts a strong plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Familiarity with contract management software, document management systems, or claims tracking tools
Preferred Skills:
- Understanding of basic legal terminology and construction industry practices (AIA documents, lien waivers, etc.)
- Excellent written communication skills
