Description

The Safety Administrative Assistant provides crucial clerical, organizational, and administrative support to the Environmental Health and Safety (EHS) department. This role acts as a central hub for safety data entry, compliance documentation, and training coordination to maintain an accident-free work environment. The ideal candidate is highly organized, possesses strong attention to detail, and is passionate about promoting a workplace culture focused on safety.

Key Responsibilities:
  • Documentation & Compliance: Maintain precise digital and physical records of safety inspections, incident reports, and OSHA compliance logs.
  • Training Coordination: Schedule company-wide safety training sessions, track employee completion metrics, and distribute updated training materials.
  • Incident Support: Assist with data entry and administrative filing for worker's compensation claims and accident investigations.
  • Meeting & Calendar Management: Coordinate Safety Committee meetings, prepare agendas, take official minutes, and manage safety leadership calendars.
  • Data & Reporting: Compile regional or site-specific safety data to update internal safety metric dashboards and executive scorecards.
  • Supply Inventory: Monitor and order required personal protective equipment (PPE), safety signage, and first aid supplies.
  • Communication Hub: Serve as a primary point of contact for internal staff inquiries regarding basic safety procedures and policies.

Required Qualifications & Skills:
  • Education: High school diploma or GED required; Associate degree in business administration or a related field is preferred.
  • Experience: Minimum of 1–2 years of experience in an administrative support role, ideally within an EHS, construction, manufacturing, or industrial setting.
  • Software Proficiency: Strong proficiency in Microsoft Office Suite (especially Excel and Word) and familiarity with EHS or data entry management software.
  • Regulatory Knowledge: Basic understanding of OSHA guidelines, workplace safety rules, or industry-specific compliance requirements is a strong plus.
  • Communication: Excellent verbal and written communication skills to effectively collaborate across multiple departments.
  • Organization: Exceptional ability to multitask, manage tight deadlines, and handle confidential employee health or incident information with discretion.
