Safety & Security Compliance Coordinator

Job Description

Beta is a Title I Schoolwide campus. I understand that part or all of this job could be funded with federal funds. This is a 12-month position.

Position Summary

The Safety and Security Compliance Coordinator provides high-level administrative and compliance support for the district’s safety and security operations and compliance. This role assists with documentation, audit preparation, training coordination, Guardian Program, recordkeeping, safety system management (Sentinel & Aegix AIM), and campus communication.

Reports To

Senior Manager of Communications, Brand & Security Operations

*This position is designated as essential personnel and may be required to report to work or remain available during emergencies, campus closures, or other critical situations.

Outcomes

1. Meet Compliance & Audit Readiness Goals

  • Maintain 100% completion of required safety compliance submissions, inspections, certifications, and reports.
  • Ensure all safety documentation is organized, current, and audit-ready.
  • Support successful completion of state, local, and district safety audits with no major findings attributable to missing documentation.
  • Track compliance deadlines and ensure corrective actions are completed on time.

2. Meet Safety Systems & Documentation Goals

  • Maintain accurate and current records within Sentinel and other district safety systems.
  • Ensure 100% of required drills, exterior door logs, threat assessment documentation, and safety records are uploaded and maintained according to district timelines.
  • Provide timely support to campuses regarding safety documentation requirements.
  • Maintain district safety records with a high level of accuracy and confidentiality.

3. Meet Guardian Program & District/Campus Training Goals

  • Maintain 100% compliance with Guardian Program training, certification, and requalification requirements.
  • Coordinate required Guardian training, quarterly range qualifications, and attendance documentation.
  • Schedule and track required safety trainings for district and campus staff which include tabletop exercises and drills.
  • Maintain accurate training records and completion reports.

4. Meet Safety Operations & Risk Management Goals

  • Ensure required inspections, permits, certifications, and safety programs remain current and compliant.
  • Track and support completion of corrective actions resulting from audits, inspections, drills, and safety reviews.
  • Support district emergency preparedness efforts and maintenance of emergency response documentation.
  • Assist with incident documentation, risk mitigation efforts, and safety program improvements.
  • Coordinate communication and operational alignment with campus school officers and local law enforcement partners ensuring consistent emergency response procedures, timely incident documentation, participation in safety planning and drills, and support during active incidents, investigations, and post-incident reviews.

5. Meet Communication & Operational Support Goals

  • Maintain effective communication between district leadership, campuses, Guardian personnel, and safety teams.
  • Coordinate Safety Committee meetings and distribute meeting documentation in a timely manner.
  • Maintain accurate key inventory, access control records, and accountability documentation.
  • Provide professional support to campuses and district stakeholders within the same or following business day.

Job Responsibilities

Administrative & Compliance Support

  • Maintain organized and accurate safety and security records for the district.
  • Assist with preparation for annual and triennial (3-year) safety audits.
  • Support readiness efforts for Division of School Safety audits conducted by the Texas Education Agency.
  • Track compliance deadlines and maintain audit documentation files.
  • Assist in maintaining the district Multi-Hazard Emergency Operations Plan (MEOP) and related safety documentation in alignment with guidance from the Texas School Safety Center.
  • Inspect Automated External Defibrillators (AEDs) and maintain required inspection logs and documentation.
  • Maintain First Aid and Stop the Bleed kits to ensure supplies are current, contain required materials, and are located in designated high-need areas, including nurse stations, field trips, gymnasiums, and hallways.
  • Ensure annual fire extinguisher inspections are completed and documented appropriately at each district facility.
  • Maintain current city safety permits and ensure documentation is readily available for inspections.
  • Schedule required safety and security inspections with campus leadership, city, state, and federal agencies as required.
  • Maintain safety inspection logs for district vehicles and heavy operating equipment.
  • Coordinate with HR that certified bus drivers maintain current licenses and have required physical examinations prior to transporting scholars and families.
  • Ensure pest control services are scheduled regularly and required certifications are maintained on file.
  • Serve as the district's Integrated Pest Management (IPM) Coordinator, maintain required IPM records, coordinate pest control services, ensure required notifications are provided, and monitor compliance with state and district pest management requirements.
  • Serve as the Designated Asbestos Program Coordinator (APC). Attend required training and ensure asbestos reports are submitted annually and maintained in accordance with regulatory requirements.
  • Schedule, complete and submit annual gas pipeline safety inspection reports to regulatory authorities.
  • Schedule annual crossing guard training prior to the start of each school year for all staff assigned to arrival and dismissal duties in public street areas.
  • Track corrective actions resulting from audits, inspections, drills, threat assessments, and safety reviews and follow up to ensure timely resolution.
  • Assist with maintaining safety incident documentation and related records in accordance with district procedures and regulatory requirements.
  • Assist with annual reviews and updates of emergency response procedures, annexes, and related safety documentation.
  • Prepare periodic compliance status reports and documentation summaries for district leadership.

Sentinel System & Documentation Management

  • Assist in maintaining and updating required documentation within the Sentinel safety management system.
  • Monitor and track completion of required safety drills and ensure documentation is uploaded accurately and on time.
  • Assist with audits of Threat Assessment documentation within Sentinel to ensure completeness and compliance.
  • Ensure Exterior Door Logs are collected, uploaded to the Sentinel document repository, and maintained in accordance with district requirements.
  • Provide support to campuses regarding Sentinel documentation requirements and compliance expectations.

Guardian Program Administrative Support

  • Maintain confidential Guardian Program records and documentation.
  • Track Guardian training requirements, certifications, and requalification deadlines.
  • Assist with scheduling required Guardian training and maintaining attendance records.
  • Coordinate quarterly firearms qualification and range training for Guardians.
  • Maintain communication lists, including the Guardian text group, to ensure accurate and timely communication.

Safety Meetings & Communication

  • Schedule district Security and Safety Committee meetings.
  • Prepare agendas, maintain meeting minutes, and distribute follow-up documentation.
  • Assist with dissemination of updated Safety Standard Operating Procedures (SOPs) to campuses.
  • Support communication between district leadership and campus safety teams.
  • Attend campus safety meetings as assigned to document meeting notes and follow up on action items.

Key & Access Control Management

  • Assist with managing and tracking district key inventory for each campus.
  • Maintain accurate key assignment logs and access control documentation.
  • Coordinate issuance and collection of keys in accordance with district procedures.
  • Support periodic audits of campus key inventories.
  • Maintain documentation related to access control and key accountability.

Training & Drill Coordination

  • Assist with scheduling required safety trainings, tabletop exercises, and drills.
  • Track training attendance and ensure documentation is maintained accurately and in accordance with district requirements.
  • Maintain records of required safety drills, exercises, and training completion in accordance with state and district requirements.

Physical & Work Requirements

  • Ability to move throughout district campuses and attend school events as needed.
  • May require extended hours during special events, audits, or emergencies.
  • Must meet all legal requirements for working in a school environment.

Qualifications

Required

  • Minimum of 3 years of experience in administrative operations, security, school safety, compliance, risk management, or a related field.
  • Experience maintaining records, documentation, compliance requirements, and operational processes.
  • Working knowledge of school safety procedures, compliance requirements, and audit processes.
  • Ability to support safety operations, documentation management, and training coordination.
  • Strong organizational skills with attention to detail, particularly in maintaining records, tracking deadlines, and preparing documentation.
  • Effective written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Ability to work collaboratively across campuses, departments, and external partners.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Preferred

  • Associates degree or higher in Public Administration, Security and Safety Management, Emergency Management, Business Administration, Criminal Justice, or a related field.
  • Experience supporting safety programs, compliance initiatives, or administrative operations within a school district, government agency, or similarly regulated environment.
  • Familiarity with Texas school safety requirements, Texas Education Agency (TEA) compliance expectations, and Texas School Safety Center guidance.
  • Experience working with Sentinel or similar safety and compliance management systems.
  • Familiarity with Texas School Guardian Programs and related documentation requirements.
  • Experience coordinating safety trainings, drills, audits, inspections, or regulatory compliance activities.
  • Ability to support safety and emergency preparedness planning and crisis response operations.
