Role Overview:

The Scheduler Associate is responsible for managing the end-to-end process of booking participants into case study sessions. This role ensures seamless alignment between participant availability, site capacity, and proctor staffing to directly support service delivery and operational SLAs. The Scheduler maintains participant databases, conducts eligibility screenings, and handles all session-related communications. The Scheduler Associate will also work with the Scheduler Lead to develop strategic approaches for Schedulers in other locations to efficiently identify candidates for case studies and increase end user participation.

Key Responsibilities:

  • Participant Management: Maintain and update participant databases, including contact information, eligibility status, and scheduling history.

  • Session Coordination: Schedule participants based on specific study criteria, site constraints, and resource availability.

  • Logistics & Communication: Coordinate logistics with participants regarding location details, required preparation, and compensation while issuing timely confirmations, reminders, and managing cancellations.

  • Operational Alignment: Align scheduled sessions with Proctor availability and escalate any resource conflicts to the Proctor Lead as necessary.

  • Eligibility Screening: Screen potential participants against study-specific inclusion and exclusion criteria and accurately record outcomes.

  • Rapid Response: Provide high-speed scheduling support for priority and ad hoc case study requests.

  • KPI Tracking: Maintain precise records of scheduled and completed sessions to support operational reporting and KPI tracking.

  • Dashboarding: update dashboard based on the requirement per study
