Job Summary and Qualifications

The Dialysis Center Scheduler schedules new patients upon admission via telephone, in person, with referring physician office, hospital, or patients transferring from other dialysis units via fax. The scheduler also completes monthly scheduling and registration of recurring outpatients accounts in Meditech and prints patient packets. The Scheduler records necessary patient demographic information in the scheduling the electronic EMR. and screens patient upon arrival to the Dialysis Center. The scheduler will assist with insurance verification and authorizations for patients as instructed. The scheduler will assist with other administrative duties as instructed, including but not limited to the following duties: Filling in for the Patient Access Representative as needed and assisting with department duties including but not limited to data entry, entering patient charges, thinning the paper chart, filling and special projects as needed. 

What you will do in this role:

  • Schedules new evaluations from patients and Physicians requesting Therapy services.
  • Provide follow-up scheduling, re-scheduling and cancellation of appointments as assigned. Work closely with Director and Outpatient Team Lead to maximize efficiency of the department via optimization of patient scheduling. Able to take direction from leadership as well as demonstrate initiative to improve processes to achieve goals of maximizing clinic efficiency, maximizing reimbursement, and maximize patient satisfaction.
  • Consstently organizes and executes daily tasks as a priority to achieve optimal productivity and efficiency.
  • Screens insurance information to identify patients requiring preadmission approval from third-party payor
  • Inform patients of HCA North Cypress policies, admission time, and place
  • Register patients following department’s policies and procedures.
  • Interviews patient courteously.
  • Enters required data in the Meditech system, with emphasis on accuracy of demographic data and financial information, thus ensuring appropriate revenue routing.
  • Validates existing data related to prior registrations and updating appropriately in the Meditech system.
  • Identifies the appropriate payor source (plant ID, financial class, etc.) and enters the information in the Meditech system.
  • Ensure that all pre-certifications are completed within the specified time frames as mandated by the payor’s payment authorization protocols.
  • Ensures that all treatment authorizations are obtained in accordance with payor’s payment authorization protocols.
  • Records comments in the Meditech system and B/AR to permit timely and accurate follow up.
  • Ensures documentation of financial activity.
  • Provides payment options in the form of cash, check, credit card, or other bank financing where applicable
  • Ensure patient sensitive issues are handled appropriately and timely.
  • Enters all patient demographic and financial information with an accuracy level of 97%.
  • Complete charge entry and daily charge recertification with accuracy.
  • Enter therapist productivity data with accuracy.
  • Order supplies and assist with inventory as needed in Staples
  • Fax therapy Plan of Cares (POC) to Physicians office for signature, utilize POC log, and communicate with registration personnel or assist with scanning POC into patient medical chart to ensure compliance with Medicare regulations.
  • Complete other duties as assigned with accuracy as determined by Rehab Director and/or Team Lead
