South Coast Is Looking for a Full-Time Appointment Scheduler for our Richmond Hill Pediatrics Office

Join our dedicated primary care team as an Appointment Scheduler -a key member of our front office responsible for ensuring a positive first impression for every patient. This position requires exceptional communication skills, attention to detail, and the ability to manage a high volume of calls with patience and professionalism.

Key Responsibilities

  • Schedule and coordinate patient appointments efficiently and accurately.

  • Manage incoming calls on a multi-line phone system, providing courteous and professional assistance.

  • Book, confirm, and reschedule appointments; relay messages to providers and staff as needed.

  • Arrange interpreter or translation services when required and document accordingly.

  • Collect and verify patient demographic information, updating records in the scheduling system.

  • Maintain up-to-date provider schedules to ensure proper patient placement and workflow.

  • Answer inquiries regarding appointments, services, and scheduling procedures.

  • Update the master schedule daily with cancellations or additions and notify providers or nurses as appropriate.

  • Perform additional administrative duties as assigned by the Supervisor.

Qualifications

  • High School Diploma or equivalent required.

  • Minimum of one (1) year of experience in a medical office or imaging department preferred.

  • Previous switchboard or call center experience strongly preferred.

  • Strong verbal communication and customer service skills.

  • Ability to communicate clearly, remain professional under pressure, and work effectively in a fast-paced environment.

  • Proficiency with word processing and computer-based scheduling systems.

  • Knowledge of medical terminology preferred.

Education/Experience: High School Diploma. At least one year work experience in a medical office/Imaging department setting. Prefer prior switchboard operations experience. Knowledge of medical terminology desired. Word processing and computer experience.
