You will prioritize incoming calls, assign the right technician based on skill level and location, monitor jobs throughout the day, and adjust the schedule as needed.Key Responsibilities:Schedule, prioritize, and dispatch service and maintenance callsMonitor technicians' progress and adjust schedules throughout the dayKeep customers updated regarding arrival times, delays, and job progressPrepare estimates, schedule approved work, and coordinate return visitsWork with warehouse staff to ensure technicians have the necessary parts and materialsMaintain accurate customer records, job notes, invoices, timesheets, and dispatch ticketsTrack open work orders and follow through until each job is completedAssist with workload planning, maintenance scheduling, and parts orderingWork closely with technicians, managers, and office staff to support efficient daily operationsQualifications:At least two years of administrative, process-management, or project-management experienceExperience in HVAC or a similar trade industry is preferredPrevious dispatching experience in HVAC, plumbing, electrical, pool service, or another service trade is strongly preferredExperience with dispatching or field-service software is preferredProficiency in Word, Excel, and OutlookClear and professional verbal and written communication skillsStrong organization, follow-through, and attention to detailAbility to manage multiple calls and shifting priorities in a fast-paced environmentConfident decision-making and problem-solving skillsFriendly, customer-focused attitudeAbility to collaborate effectively with technicians, managers, and office staffDependability and availability to work the required schedule, including seasonal overtimeCandidates will be required to pass a background upon being given a conditional offer of employment
