Responsibilities

  • Coordinate and maintain daily schedules for staff, clients, or service appointments
  • Answer incoming calls and emails to book, confirm, or reschedule appointments
  • Communicate schedule changes promptly to all relevant parties
  • Maintain accurate records in scheduling and calendar management software
  • Monitor multiple calendars to identify and resolve conflicts before they occur
  • Partner with team members and supervisors to balance workloads and coverage
  • Send appointment reminders and follow up on confirmations
  • Track cancellations, no-shows, and rescheduling trends for reporting
  • Assist with general administrative tasks as needed
  • Escalate scheduling issues or recurring conflicts to management

Requirements

  • High school diploma or equivalent required, associate degree preferred
  • Prior scheduling, customer service, or administrative experience is a plus but not required
  • Strong verbal and written communication skills
  • Comfortable working with scheduling software, Microsoft Office, and Google Workspace
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple calendars and priorities in a fast-paced environment
  • Reliable internet connection and a quiet, dedicated home workspace
  • Ability to work independently with minimal supervision
  • Strong problem-solving skills when handling last-minute changes
