JOB TITLE: SECRETARY VI GROUP: Teamsters III - Office Support LEVEL: 17 FLSA STATUS: Nonexempt WORKDAYS PER FISCAL YEAR: 220 or 247 HOLIDAYS: 13 or 14 SUMMARY: This position provides skilled and complex secretarial support services for non-school site functional operating unit and its staff. They are representing the functional unit in which they are assigned and for which they provide administrative support. The employee holding this position is expected to have detailed knowledge of the function and can speak for it administratively. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is meant to be representative, not exhaustive.   • Perform secretarial support duties for non-teaching staff.
  • Type correspondence, reports, bulletins, forms, memoranda, legal documents and other materials.
  • Maintain complex records and filing systems.
  • Answers queries regarding functional unit programs and policies.
  • Operate and maintain a wide variety of office equipment.
  • Answer telephones, screen calls, take and relay messages, dispatch staff, operate two way radios, relay emergency messages.
  • Greet and assist office visitors.
  • Manage email correspondence.
  • Orders, sorts and distributes mail. Responds to complex correspondence.
  • Receives and distributes supplies. Verifies orders against requisitions.
  • Makes appointments and travel arrangements. Keeps staff calendars.
  • Maintains budgets, keeps a set of departmental books. Maintains unit payroll.
  • Monitors functional activities to ensure compliance with Federal, State and District regulations.
  • Trains and provides work direction to less experienced and skilled classified employees.

Other Functions

MINIMUM QUALIFICATIONS EDUCATION AND EXPERIENCE: High school diploma or equivalent Five years prior clerical experience

PREFERRED QUALIFICATIONS AA degree Prior school district experience

CONDITION OF EMPLOYMENT: Criminal background clearance All certificates, licenses, endorsements, permits, and vaccines (absent exemption) as required for this position by state and local authorities

KNOWLEDGE OF: Modern secretarial practices District policies, procedures and organization Modern office equipment including a microcomputer and related software Financial and statistical record keeping Word processing, spread sheet, and database software School board policies and procedures

ABILITY TO: Communicate effectively verbally and in writing Train and provide work direction to classified clerical staff Operate a variety of modern office equipment including microcomputer and related software Maintain effective working relationships with individuals and groups in a multicultural and diverse community Work collaboratively with school and central office administrators, parents, and community members Demonstrate keyboarding skills Operate general office equipment Remain flexible to changes in assignments or situations Attend to detail and follow tasks through to completion Organize activities, set priorities, and follow instructions Comply with school board policies and follow administrative procedures

The noise level in the work environment is usually moderate. The employee must deal with angry and upset students, parents, and community members. The employee must adjust to frequent interruptions in their work schedule.
