FUNCTION
Provide administrative support to division leaders, department chairs, faculty, and staff.
Essential Job Functions
Provide administrative support to dean, department chair, and faculty members with paperwork, forms, and reports. These may include: • Budgets • Purchasing • Entering class schedule • Faculty load • Reports • Textbook adoptions • Ordering supplies • Personnel reports • Absence and leave forms • Grades • Class rolls
Perform general office duties such as: • Developing letters • Emails • Substitute forms • Reports • State reporting as required
Occupying the front desk and professionally interfacing daily with: • Students • Administrators • Various departments • Visitors • Staff • Faculty
Entering Student Data for new, transition, and current students, i.e., maintaining various computer-based records, files, creating classes, and assisting with course substitution forms.
Scheduling and coordinating multiple meetings and room reservations, including: • Meetings for college leaders • Faculty advisory boards • Information sessions
Recording and transcribing meeting minutes.
Working with Department Chairs and Division Operations Coordinators by: • Initiating class cancellations • Development of class schedules • Catalog revisions (i.e., updates to program promotional brochures, materials, or website)
Preparing and processing requisitions and invoices as needed and Banner entry via several banner programs.
Processing P-card statements and maintaining P-card records and expenditures.
Coordinating travel arrangements, hotel, and parking reimbursements.
Coordinating facilities for classroom use, including maintenance requests.
Additional Job Functions
Ordering inventory supplies and submitting expenses.
Completing required trainings.
Other duties as assigned.
