Position Summary

The Senior Administrative Assistant provides high-level administrative, operational, and logistical support to leaders and client-facing teams. This role requires exceptional organizational skills, proactive problem-solving, and the ability to manage multiple priorities while handling confidential information with discretion. The Senior Administrative Assistant anticipates business needs, ensures seamless coordination across stakeholders, and serves as a trusted partner in daily operations.

Key Responsibilities

Administrative & Operational Support

  • Provide comprehensive administrative support with a proven record of sustained performance and reliability.
  • Manage complex scheduling for multiple clients and stakeholders, ensuring accuracy and efficiency.
  • Anticipate leadership and client needs and take initiative to address issues before they arise.
  • Demonstrate strong follow-up and tenacity to gather required information and drive tasks to completion.
  • Work independently while exercising sound judgment in a fast-paced environment.

Meeting, Event & Conference Coordination

  • Coordinate conferences and meetings, including registration, travel identification, logistics, and on-site support.
  • Support office and client events, ensuring smooth execution and attention to detail.
  • Manage office work requirements with flexibility for limited remote work as business needs allow.

Travel, Expenses & Invoicing

  • Arrange domestic and/or international travel, including flights, lodging, ground transportation, and itineraries.
  • Manage expense reporting and invoicing using tools such as Concur.
  • Ensure accuracy, timeliness, and compliance with company policies.

Technology & Documentation

  • Maintain a high level of proficiency in Microsoft Office Suite, including PowerPoint capabilities.
  • Format, edit, and prepare professional documents and presentations.
  • Utilize business systems and tools such as Concur, Spectrum, and DocuSign to support workflows.

Resource, Inventory & Field Support

  • Coordinate field swag ordering, inventory management, and distribution.
  • Maintain accurate records and ensure timely delivery of materials.
  • Maintain report of field assignments of foremen and superintendents utilizing payroll reports

Confidentiality & Professional Standards

  • Handle sensitive and confidential information with discretion and integrity.
  • Demonstrate strong attention to detail, punctuality, and consistent attendance.
  • Uphold high standards of professionalism in all interactions.

Required Skills & Qualifications

  • 3-5 years of previous Administrative Office level work
  • Highly proficient with Microsoft Suite products (Word, Outlook, Excel, PowerPoint, etc.)
  • Strong time management and organizational skills with the ability to manage competing priorities.
  • Exceptional attention to detail and follow-through.
  • Self-sufficient, proactive, and solutions oriented.
  • Excellent written and verbal communication skills.
  • Proven ability to manage confidential information responsibly.

Preferred Experience

  • Experience in senior-level administrative or executive support roles.
  • Familiarity with expense management, travel coordination, and invoicing processes.
  • Experience supporting multiple clients, teams, or field-based personnel.
  • Previous experience with Spectrum, Concur and Smartsheet is a plus.
