    Job Description

Harrison Gray Search has partnered with a leading global private wealth management firm to identify a proactive, client-focused Senior Administrative Associate to provide dedicated support to a rapidly growing advisory practice in New York City.

    The Opportunity

This is a newly created role driven by growth. A Principal Wealth Advisor overseeing a $1.5–2 billion practice serving ultra-high-net-worth clients is adding dedicated, exclusive administrative support for the first time. You will support the Principal Advisor and two junior partners within one unified practice, working alongside a team of client service associates.

This is more than a traditional executive assistant role. You will be the right hand to a highly sought-after advisor who is in meetings from morning to evening, and the first familiar face clients see when they walk through the door.

    What You’ll Do

    Executive Support & Logistics

    • Manage complex, fast-moving calendars, re-prioritizing quickly when urgent client needs arise and keeping the advisor in the right rooms at the right time.
    • Hold the advisor team accountable to commitments, deadlines, and follow-ups.
    • Coordinate travel, meetings, and logistics with accuracy, discretion, and diplomacy.
    • Prepare client review materials, presentations, reports, and meeting agendas.

    Client Service

    • Field inbound client calls and emails, ensuring every request is organized, tracked, and resolved promptly.
    • Greet and host clients for in-office meetings, building genuine relationships over time.
    • Maintain accurate client records and demographic information across firm systems (e.g., address changes and account updates).
    • Anticipate client needs and add thoughtful personal touches, such as recognizing birthdays and milestones.

    Events & Marketing

    • Partner with the firm’s marketing team to plan and execute client events and marketing campaigns as the practice expands.

    Operations & Process

    • Identify ways to improve efficiency, including leveraging AI tools to add value to the practice.
    • Collaborate with the associate team and cross-functional partners to deliver seamless service.

    What We’re Looking For

    • 5–7 years of progressively responsible administrative or executive support experience, preferably in wealth management, financial services, or professional services.
    • Experience supporting senior leaders in a fast-paced, client-facing environment.
    • A genuine interest in client service: someone who wants to pick up the phone, get to know clients, and take service to the next level.
    • Proactive, quick on your feet, and able to anticipate needs before they arise.
    • Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and Salesforce.
    • Experience with AI tools (e.g., Microsoft Copilot) is a strong plus.
    • Event planning or marketing coordination experience is a plus.
    • Exceptional organization, attention to detail, discretion, and professionalism.
    • Bachelor’s degree or equivalent combination of education and experience.

    Schedule & Location

    • Hybrid: four days in office, one day remote, in Midtown Manhattan. The team is highly office-centric, and this role is best suited for someone who values being in person.
    • Core hours approximately 8:00–5:00 or 8:30–5:30, with occasional after-hours commitments for client events.

    Growth

As a dedicated member of a growing practice, strong performers will be brought increasingly into the fold, with expanded responsibility and potential oversight of practice operations over time.

    Compensation & Benefits

    • Base Salary Range: $90,000 – $110,000, commensurate with experience.
    • Eligibility for year-end incentive compensation.
    • Retirement plan with matching employer contribution.
    • Comprehensive health and wellness benefits.
    • Flexible time off and mentoring programs.
