Senior Administrative Coordinator/Lead Administrative Coordinator - OMD

Reporting to the First Deputy Managing Director (FDMD) and his Advisors, and working as a team with the other Administrative Coordinator in the office and with other members of OMD, the selected candidate will perform a wide range of organizational and administrative duties.

The chosen candidate will work closely with the FDMD and his Advisors to take the lead in supporting the smooth day-to-day operations of the Office, liaising as needed with Fund staff, other Management offices, the Executive Board, member countries, and other external parties. While there will be a division of labor between the two coordinators, both will be expected to be able to perform all the necessary tasks, and to back-stop each other as needed, and other OMD offices on occasion. Given the sensitive nature of the work in OMD, discretion and diplomatic skills will be essential. 

Major Duties and Responsibilities

• Supports Senior Management and senior staff, in particular FDMD Katz and the Advisors in his office, by making daily administrative and operating decisions to ensure an efficient workflow in OMD, including with respect to management briefs and communicating management decisions, in close collaboration with OMD staff and departments. 
• Manages the FDMD’s Calendar, including scheduling meetings and requesting briefing materials, with guidance from the Chief of Staff and the FDMD’s Advisors.
• Anticipates and resolves competing priorities and escalates as appropriate.
• Proofreads and edits documents on behalf of Advisors to ensure compliance with IMF administrative procedures and guidelines.
• Provides input on workflow and operating processes, as well as knowledge transfer to other colleagues in OMD and DMD Offices.
• Liaises with internal and external stakeholders, including high-level delegations meeting with the FDMD.
• Manages travel arrangements and logistics for the FDMD and the Advisors in his office.

Minimum qualifications

Educational development, typically acquired by the completion of a high school diploma, or equivalent, supplemented by a minimum of eight (8) years of relevant experience, is required. Internal candidates must have met mobility requirements.

In addition to the qualifications set forth in the job standards, the selected candidate must possess:

• excellent drafting, administrative, and organizational skills;
• experience in organizing, coordinating, and managing high impact activities;
• ability to work well under pressure, managing short deadlines and a complex and demanding workload;
• ability to work cooperatively with the other administrative coordinator in the office and with staff in OMD and in other offices;
• independent judgment and discretion in handling sensitive and confidential information;
• excellent oral and written communication and interpersonal skills;
• a comprehensive knowledge of the IMF's administrative practices and procedures;
• readiness to work in HQ at least three days a week;
• interest and willingness to utilize AI to support the regular work of the office and improve work processes;
• flexibility in working hours and willingness to work overtime at short notice are essential;
• excellent knowledge of Word, Excel and PowerPoint.
