Senior Administrative Assistant

Risk Management Department - New York Life

Location: New York City Home Office (Hybrid)

Role Overview:

This Senior Administrative Assistant provides high-level administrative and strategic support to senior executives within the Risk Management organization, including the Head of Business Unit Risk Management and additional Executive Officers.

This role requires a proactive, highly organized professional who can anticipate needs, manage competing priorities, and act as a trusted partner to senior leadership. The role will interact regularly with executives, their assistants, internal stakeholders across the enterprise, and external partners, requiring strong judgment, discretion, and professionalism. This role operates with a high degree of autonomy and requires sound judgment in representing executive priorities.

What You'll Do:

  • Manage complex and dynamic calendars for multiple senior executives, including prioritization, conflict resolution, and proactive planning
  • Coordinate and manage all aspects of meetings, including scheduling, logistics, materials preparation, and follow-up
  • Anticipate executive needs and act on their behalf when appropriate
  • Arrange domestic and international travel, including itineraries and expense reporting
  • Prepare, review, and edit correspondence, presentations, reports, and other materials
  • Serve as a liaison across departments, with executive assistants, and with external partners
  • Maintain a high level of organization for files, documents, and communications
  • Support planning and execution of events, conferences, and offsite meetings
  • Greet and coordinate visitors and ensure a professional experience
  • Provide backup support to other administrative assistants to ensure seamless coverage
  • Handle additional administrative and operational tasks as needed

What You'll Bring:

  • Minimum 5 years of experience supporting senior-level executives in a corporate environment
  • Demonstrated ability to manage complex calendars and shifting priorities with strong judgment
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to work independently and proactively in a fast-paced environment
  • High level of professionalism, discretion, and ability to handle confidential information
  • Strong interpersonal skills with the ability to build relationships across all levels of the organization
  • Proven ability to multitask and prioritize effectively
  • Proficiency in Zoom, Microsoft Outlook, Teams, Word, PowerPoint; working knowledge of Excel

Preferred Qualifications

  • Bachelor's Degree
  • Experience supporting multiple executives simultaneously
  • Experience in financial services, insurance, or risk management environments
  • Strong problem-solving and decision-making capabilities
  • Ability to anticipate needs and improve processes proactively

Pay Transparency

Salary Range: $73,000 - $135,000

Overtime eligible: Exempt

Discretionary bonus eligible: Yes

Sales bonus eligible: No

Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
