Cambridge Rindge & Latin School is a comprehensive high school divided into four Learning Communities designed to promote high levels of learning and achievement for all students. Honors courses are offered in all core classes (English, History, Mathematics, and Science); Advanced Placement (AP) courses are available to qualified students in grades 11 and 12.

The Opportunity:
The Cambridge Rindge and Latin School seeks a clerk to join its caring and innovative community. The clerk will work in the school's main office, reporting directly to the Principal, and is responsible for performing a variety of clerical functions required for the smooth and effective operation of the school campus. Responsibilities include but are not limited to:
School Operations
- Schedule the use of spaces, including in the main cafeteria, the media cafeteria, and the principal's conference room, on the school campus.
- Review and approve all flyers for school and electronic bulletin boards.
- Student MBTA pass program: Update and maintain the pass program procedures. Set and administer distribution schedules. Order passes from the MBTA. Cancel and reissue lost passes. Keep a monthly spreadsheet of passes issued, reissued, and canceled and shared with the CRLS finance manager.
- Fundraising: Review requests for compliance with CPS policies. Obtain Principal's signature, and maintain electronic records of forms and spreadsheet of all fundraisers each school year.
- Field Trips: Review all new requests for CPS policy compliance. Obtain the Principal's signature. Notify staff of approval and provide them with signed forms. Obtain and enter attendance into ASPEN. Maintain chaperone list with CORI forms for non-CPS staff and electronic record of documents for each trip. For out of state field trips, coordinate with CPS Central Office for approval signatures, medical plan(s) (if necessary), financial sign-off. Arrange bus transportation for all field trips and coordinate with the CRLS Finance Manager. Maintain records of all CRLS field trips.
- Graduation: Manage arrangements with vendors including compiling student lists, ordering programs, flowers, and family and VIP invitations. Prepare caps and gowns for distribution. Assign stage and graduate seating. Attend and assist in rehearsal. Attend graduation to assist.
- Staff Records: Maintain records in the main office for staff on assignment, leave of absence, tuition reimbursement, new hire recommendations, and disciplinary actions.
- Student Records: Maintain records in the main office for suspension notices, exclusion hearings, graduation waivers, and other disciplinary records.
- Timesheets: Keep timesheet records for all staff reporting to the main office and notify the Principal when timesheets are prepared for approval.
- Vending Machines: Maintain a list of students who have been reimbursed as well as reimburse them. Notify the vending machine owner for service as needed.
- 504 Plan Documents: Coordinate with 504 Team Chairs to assist with distribution of consent forms to families and educational assessments to staff.
- MCAS: Mail DESE provided results reports home to families.
- Clubs: Work with the Assistant Principal of Student Support and Extra Curricular Committee to manage student club applications and assist Club Advisors with Field Trip and Fundraising forms.
- In School PSAT/SAT: Work with Standardized testing coordinator to prepare testing materials.
Office Management
- Develops and maintains office procedures.
- Answer main office phone/email, directing calls and requests to appropriate parties as well as all in person requests/questions.
- Scheduling/rescheduling all meetings for the Principal and Assistant Principal.
- Review the daily schedule with both Principal and Assistant Principal.
- Arrange for space, food, A/V equipment, and other supplies for meetings.
- Order office supplies to maintain inventory as needed.
- Coordinate with CRLS Family Liaison, CRLS Mail Manager, Custodial & Safety staff as needed.
Your Skill Set:
The ability to work both independently and collaboratively with office staff, school-wide personnel, and students and families is essential. Secondary school experience is preferred. Requires multi-tasking abilities amongst handling student, family, and staff needs on a daily basis within the Main Office setting; demonstrated experience working with computers using email, word processing, and spreadsheets; familiarity with the CPSD Aspen database system, Red Rover or other online substitute tracking platform, Novatime payroll software, and Google Suite is desirable.
