Shoreham West Cooperative Apartments is seeking a polished, professional, and service-oriented Senior Concierge to serve as the primary representative of the cooperative during evening hours. This position combines traditional luxury concierge responsibilities with enhanced responsibility for resident communications, administrative functions, operational coordination, and problem resolution.
The Senior Concierge serves as the first point of contact for residents, guests, vendors, and visitors while supporting the day-to-day operations of the cooperative. The ideal candidate possesses exceptional customer service skills, strong written communication abilities, sound judgment, and the ability to independently manage multiple priorities in a luxury residential environment.
Serve as the primary point of contact for residents, guests, vendors, and visitors.
Deliver exceptional customer service consistent with Shoreham West's standards of professionalism, hospitality, and resident satisfaction.
Manage visitor registration and building access procedures in accordance with established security protocols.
Answer telephones, respond to resident inquiries, and direct requests appropriately.
Receive, log, and distribute packages, deliveries, and resident notifications.
Maintain an organized, welcoming, and secure lobby environment.
Monitor front desk operations and ensure accurate documentation of daily activities.
Coordinate with building staff, contractors, and vendors to address resident needs and service requests.
Assist with emergency procedures and incident reporting as required.
Respond promptly and professionally to resident concerns, complaints, and service requests.
Utilize sound judgment to de-escalate issues and facilitate effective and timely resolutions.
Investigate routine resident and operational concerns and coordinate follow-up as necessary.
Monitor outstanding resident requests and ensure appropriate follow-through.
Promote positive resident relations through proactive communication and exceptional service.
Identify recurring service issues and communicate recommendations for improvement to management.
Process and upload invoices and supporting documentation for management review and approval.
Draft, prepare, and distribute resident communications, newsletters, building notices, and announcements; maintain communication records and assist with follow-up regarding resident inquiries and building matters.
Prepare and assemble Board and committee meeting packets, reports, and supporting documentation for management review and distribution.
Prepare resale package documentation and maintain related cooperative records.
Maintain accurate records within BuildingLink and other building management systems.
Maintain organized electronic and physical records for residents, vendors, contractors, Board materials, and cooperative operations.
Coordinate vendor documentation and maintain current certificates of insurance and related records.
Perform administrative and operational duties including recordkeeping, correspondence, meeting materials, and special projects as assigned.
Monitor common areas and report maintenance, safety, security, and operational concerns.
Coordinate vendor and contractor access in accordance with building policies.
Track service requests and assist in ensuring timely follow-up and resolution.
Support implementation of building policies, procedures, and service initiatives.
Maintain strict confidentiality regarding residents, Board members, committee activities, and cooperative business matters.
Minimum of three (3) years of experience in luxury residential, hospitality, concierge, cooperative, condominium, property management, or customer service environments.
Excellent verbal and written communication skills.
Strong customer service, interpersonal, and problem-solving abilities.
Demonstrated professionalism, discretion, and sound judgment.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities and work independently.
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
Experience with BuildingLink or comparable property management software preferred.
