Senior Executive Assistant
HilltopSecurities is looking to hire a Senior Executive Assistant. The Senior Executive Assistant is considered a seasoned (expert) in their field. The Senior Professional focuses on the plans to achieve goals and objectives and carries out defined steps or processes. Will work closely with senior executives and/or key business leaders. Provides advanced support for top level executives by performing executive level administrative tasks including but not limited to clerical work, receiving clients and visitors, arranging travel and correspondence, and scheduling meetings.
Responsibilities
- Serves as the point contact among executives, employees, clients and other external partners
- Manage and maintain executive schedules, including scheduling travel and conferences
- Manages information flow in a timely and accurate manner
- Meet with special interest groups or individuals on behalf of executives
- Prepare executive responses to routine memos, letters, or correspondence
- Develop and utilize historical information; provide retrieval of information
- Record meeting discussions and provide minutes
- May act as an office manager by ensuring adequate office supply inventory and overall operations
- Performs medium and long-term tasks and more complex requests and activities
- Regularly uses independent judgement to resolve non-routine issues escalated from junior team members
- Serves as a subject matter expert with technical knowledge and broad understanding of their field
- Influences junior team members by providing advanced understanding and guidance of the subject area
- Conveys and exchanges basic technical and factual information with colleagues, clients and customers
- May have limited management responsibilities
- May be responsible for providing basic training to new employees
- May supervise entry or experienced level professional staff
- Other functions as needed
Qualifications
- High school diploma, GED, or equivalent. Degree preferred in relevant discipline
- 7-10 years proven executive level experience in the field with or without progressive responsibilities
- SIE (Securities Industry Exam) is highly desired
- Computer hardware, operating system (Windows or Mac) and software/application (MS Office, Internet Explorer, Outlook etc.) skills
- Ability to work independently or within a team
- Excellent organization and time management skills
- Excellent verbal and written communication skills
- Ability to use discretion and maintain confidentiality
