Pay Range: The pay range for this job is $80000 - $140000 annually; actual pay is dependent on experience and geographic location.

POSITION OVERVIEW

This Senior Executive Assistant serves as a trusted partner to senior executive leadership within the Branding & Innovation portfolio, providing seamless administrative, operational, and project support in a fast-paced, high-profile environment. The role is responsible for managing complex calendars, travel, communications, expenses, meetings, and special projects while anticipating executive needs and ensuring priorities are executed efficiently and professionally.

In addition to executive support, this role plays a key part in fostering team culture and engagement through the coordination of events, onboarding activities, internal communications, and office operations. The position also supports a variety of business requiring exceptional discretion, sound judgment, attention to detail, and the ability to manage multiple priorities simultaneously.

The ideal candidate is highly organized, resourceful, proactive, and service-oriented, with strong communication skills and a proven ability to build relationships across all levels of the organization while handling confidential information with professionalism and integrity.

ESSENTIAL DUTIES & RESPONSIBILITIES

Core Responsibilities

  • Manage all executive support functions, including complex calendar management, Teams coordination, expense reporting, and responding to routine requests.
  • Maintain and manage Outlook calendars, making frequent adjustments, scheduling and confirming internal and external meetings, conference calls, and appointments.
  • Coordinate domestic and international travel, including flights, hotels, itineraries, ground transportation, and visa documentation.
  • Prepare and edit written materials, including memos, meeting agendas, presentations, and other executive communications.
  • Conduct research and compile materials in preparation for meetings and strategic initiatives.
  • Maintain accurate contact lists and other key executive information.
  • Coordinate meeting and event logistics, including scheduling, room reservations, technology setup, and attendee management.
  • Facilitate onboarding for new team members by ensuring access to Teams channels, email distribution lists, and other required resources before their start date.
  • Submit and track team expense reports in a timely manner.
  • Manage confidential information with discretion while effectively balancing competing priorities and driving projects through completion.
  • Manage a variety of executive priorities, including confidential business and personal matters with the highest discretion.
  • Perform additional duties and special projects as assigned.

Department Responsibilities

  • Lead the Culture Committee by planning and executing team events, including holiday celebrations, corporate events, team dinners, and all-hands programming.
  • Coordinate weekly team catering and meal logistics to support employee engagement and in-office collaboration.
  • Ensure the team remains informed of company news, strategic initiatives, and organizational communications.

Special Projects

  • Support the onboarding of new Board of Directors members, serving as a liaison between executive leadership and key internal stakeholders.
  • Coordinate executive scheduling and logistics for fashion shows, industry events, and other high-profile engagements.
  • Partner with the Public Relations team to execute gifting initiatives and manage logistics for media, editors, and VIPs.

EXPERIENCE, SKILLS & KNOWLEDGE

  • Proven experience providing executive or administrative support in a fast-paced, high-volume environment.
  • Exceptional organizational skills, attention to detail, and follow-through, with the ability to manage multiple priorities simultaneously.
  • Strong problem-solving skills and the ability to anticipate needs, exercise sound judgment, and adapt to changing priorities.
  • Excellent interpersonal, communication, and relationship-building skills, with the ability to collaborate effectively across functions, teams, and levels of the organization.
  • Highly proactive, resourceful, and solutions-oriented, with a demonstrated ability to take initiative and drive work to completion.
  • Ability to work under pressure, maintain confidentiality, and consistently meet critical deadlines.
  • Results-oriented with a strong sense of ownership and accountability.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, and Excel); experience with Concur, Workday, Ariba, or similar business systems preferred.
  • Flexibility to work onsite a minimum of three days per week, with the ability to adjust presence as needed to support senior executive leadership during key business activities, events, and meetings.
