Position Description

Seattle Public Utilities (SPU) is seeking an exceptional administrative professional to serve as the Senior Executive Assistant for the Project Delivery and Engineering Branch (PDEB). Reporting directly to the Chief Project Delivery Officer, you will provide high-level support across a broad range of sensitive and complex administrative, operational, human resources, and budget functions. In this role, you will identify inconsistencies, develop solutions, and offer recommendations to leadership while proactively anticipating Branch needs based on business operations. As a key member of the leadership team, you will contribute to operational planning and communication efforts. This highly visible role requires integrity, sound judgment, professionalism, and the ability to manage confidential and sensitive information with discretion.

Job Responsibilities

This position manages time-sensitive projects, enabling the Chief Engineering Officer to stay abreast of critical decisions and deadlines. You will prepare correspondence, reports, presentations, and other complex and sensitive documents, while regularly engaging with Branch leadership to ensure alignment of Branch priorities with SPUs Strategic Business Plan.

In this role, you can expect to:

  • Perform routine, complex, diverse, and confidential administrative duties requiring broad and comprehensive experience, skill, and knowledge of organizational equity and inclusion principles, City and SPU policies, and departmental practices.
  • Proactively manage the PDEB Chiefs calendar and briefing book with high attention to accuracy, detail, confidentiality, and time allocation to promote productivity and successful execution of Branch goals and objectives.
  • Direct and execute complex administrative projects, including coordinating, tracking, and researching information to respond to inquiries; maintaining and updating databases; developing monthly reports and analyses; and organizing large volumes of materials.
  • Support human resources activities and documentation, including recruitment efforts, employee training, and classification requests for the Branch.
  • Coordinate travel and training requests, meetings, events, procurement, organizational charts, and distribution lists for the executive team.

Qualifications

Education & Experience:

  • Bachelors degree in Business Administration, Public Administration, or a related field;

AND

  • Four (4) years of professional experience as an Administrative Staff Assistant, Administrative Staff Analyst, Budget Analyst, or in a closely related field.

OR

Education/Experience Equivalency:

  • Applicants who do not possess a bachelors degree may substitute an equivalent combination of education, training, and/or experience that provides the knowledge, skills, and abilities required to perform the work of the position.

Desired Qualifications:

  • Strong written, oral, and interpersonal communication skills with the ability to communicate at all levels in a large and complex organization, tactfully and effectively while maintaining high level of confidentiality.
  • The ability to work independently on assignments with sound judgement, frequently balancing competing priorities with tight timelines. Be flexible when urgent issues arise, addressing them calmly and efficiently.
  • Ability to build and maintain effective working relationships at all levels of an organization with professionalism and personal credibility.
  • Writing, research, and analytical skills coupled with strong knowledge of administrative, human resources and budgetary processes.
  • Experience supporting an executive or executive team, including executive level calendar management.
  • Expert or advanced skills in the Microsoft Office suite of products, including One Note, Visio, Excel, and Word

Additional Information

Workplace Schedule/Environment:

  • Hybrid schedule with remote work flexibility (minimum 3 days/week in-office). Individual schedules will be agreed upon by the employee and their supervisor.
