    Job Description Summary

    Reporting to the Manager of Access Services, the Senior Library Circulation & Operations Coordinator is responsible for planning, organizing, managing, and supervising library operations in accordance with the policies and procedures established by the Library and delivering a high standard of service to all library users. Major activities include overseeing repair and maintenance services for library spaces, collaborating with library administration and internal and external partners in the development and execution of effective short and long term space management, including monitoring of cleaning, maintenance, repair, and improvement issues.

    Essential Duties

    • Supervise student assistants and perform customer service functions at Library Services Desk.

    • Participate in a Saturday work rotation (approximately 9 Saturdays throughout the academic year), opening and closing the building while supervising work study students.

    • Serve as primary contact for library facilities, collaborates with library staff in coordinating safety and security issues and serves as the representative on Bentley’s Emergency, Health and Safety Steering Committee.

    • Act as liaison to vendors and service providers, communicate in writing and in person with relevant parties to provide notification and clarification of issues and status reports.

    • Function as an internal project manager on library projects, collaborating with Bentley Facilities project managers, as well as maintaining library space inventory.

    • Coordinate and facilitate office moves and installations of equipment and furnishings.

    • Establish and sustain positive and productive working relationships across university departments to further library goals.

    • Serve as general coordinator for library events and event planning and execution, including but not limited to room reservations and catering coordination.

    • Provide general administrative support, including but not limited to phone inquiries, generating reports and correspondence of a confidential nature, and maintaining monthly memberships to area museums and art galleries for library patron use.

    • Coordinate general care and maintenance of office equipment such as printers, computers and library specific technologies.

    • Assist with development and implementation of capital and operating budgets; provide budgetary input; monitor expenditures to ensure compliance with approved budget.

    • Be willing to serve as library representative on campus wide committees.

    • Receive, store, inventory and ship potential donor and/or University Archives materials, as instructed by the Library Director or University Archivist.

    • Ability to work effectively and creatively in a culturally diverse, technologically complex, and rapidly changing library and university system.

    Minimum Qualifications

    • Bachelor’s degree.

    • 2-4 years of related experience. Library experience is preferred.

    • Strong customer service skills; ability to be sympathetic and sensitive to the needs of the students, faculty, staff and community, displaying a pleasant professional manner both by phone and person

    • Excellent supervisory and organizational skills.

    • Ability to train, supervise, motivate and evaluate student employees.

    • Very strong verbal and written communication skills and a demonstrated high level of good judgment, analytical and problem-solving skills.

    • Candidate must be comfortable working independently, coordinating teamwork, and maintaining clear lines of communication with day and weekday staff.

    • Flexibility with changes in priorities, schedules and deadlines.

    • Proficient in the use of integrated library systems (e.g., Alma/Primo), Microsoft Office Suite, Teams, and Outlook.

    • Ability to perform well amid frequent interruptions in a collaborative environment.

    • Ability to work well without close supervision.

    • Ability to learn new library skills and continuously update existing. skills to meet the demands of constantly changing technologies.

    • Ability to handle confidential information appropriately.

    Work Environment

    • Work is generally performed in a standard office environment with frequent interruptions and irregularities in the work schedule.

    • Position sometimes requires last-minute schedule changes in response to staff or weather emergencies, so as not to leave service desks unattended or the building unmonitored.

    • Accuracy and attention to detail; ability to use computer keyboard with speed and accuracy.

    • Ability to stand for at least ½ hour at a time when assisting at peak times at the Access Services Desk.

    • Ability to communicate effectively in person and via phone; strength to push book carts and move armfuls of books from one place to another.

In alignment with the Massachusetts Pay Transparency Act and our commitment to equity and transparency, we’re sharing the salary grade range for this role. The grade range is based on market data and the scope of responsibilities. Final pay will depend on your experience, education, and other relevant qualifications.

    Salary Grade Range:

    $29.61 - $47.62 per hour
